The Pantheon (Business app)
Contacts, companies, tags, custom fields and the timeline for your own business and each client's, filled from website forms, imports and webhooks; the Assistant, its knowledge and website chat; invoices, estimates and payments from your customers.
The Pantheon: your business app and your clients'
What The Pantheon is, which plans include it, how to switch it on for a client, and how your agency's own business fills itself from your clients and leads.
People, roles and switches in The Pantheon
One people list per client covers the portal and the business app. Owner, Manager and Staff roles, members without a login, switches that take access away, view as a member, and what the agency allows each business to do.
Contacts, companies, search and smart lists
Add and edit contacts and companies, search by name, email, phone or any custom field, filter and save smart lists, export to CSV, act on many contacts at once, and restore deleted contacts.
Custom fields for contacts and companies
Make your own fields (Vehicle, Policy number, Renewal date), group them in folders, choose the type, make them required, reorder and archive them, filter by them, and use them in emails.
Tags, tag categories and colors
Make tags with colors, group them in categories, rename, move, merge and delete them, tag or untag many contacts at once, and filter contacts by tag.
Activity history, duplicates and merging
Every contact has one Activity history of what happened. The same email or phone is always the same contact; possible duplicates are listed for you to merge, and a merge can be undone for 30 days.
Website forms send contacts to the business app
Form submissions become contacts with an Activity history entry. Fields that aren't standard become custom fields automatically, in a "From website forms" folder. Set the mapping, tags and owner in the form's Business app settings.
Import contacts from a CSV file
Upload a CSV, match its columns to contact fields (or make new custom fields from them), see what will happen before anything is saved, run it, and undo it if needed.
Send leads in from other tools with an inbound webhook
A secret web address that turns JSON from Zapier, Facebook lead forms (through Zapier), an old WordPress form or any other tool into a contact, with an Activity history entry.
The business app API and AI connections
The versioned API the business app, the coming phone app and AI apps use. Sign in with a session, an access token, an API key or an AI app connection; the conventions; the OpenAPI document; the MCP tools.
Pipelines and stages
Set up the pipelines a business sells through, each with its own stages plus Won and Lost. Reorder, duplicate, delete and restore pipelines, manage lost reasons, and choose whether a contact can have several open deals.
Who can see each pipeline
For each pipeline, give each role or person edit, view or no access. View means they can open and see the deals, but not move or change them. Owners and managers always have full access.
Opportunities (deals)
Track each possible sale on a board or a list. Value, owner, contacts, tags, followers, won / lost / abandoned with a reason, value totals, filters with relative dates, sorting by any field, Activity history and export.
Saved views for contacts and opportunities
Save the filters, sort and columns you use often, as a board or a list, just for you or shared with the business. Make one the default for a pipeline, let everyone edit it, or duplicate it.
Tasks and reminders
To-dos with a due date, an assignee and a priority, on a contact or a deal or on their own. Lists for mine, everyone's, overdue, today, upcoming and done; reminders by bell and email; repeating tasks.
Bulk changes with undo
Change many contacts or opportunities at once, the ticked ones or everything matching a filter. It runs in the background, the page can be closed, and every bulk change can be undone for 30 days.
Send business app events to other tools (outgoing webhooks)
Your webhook endpoints can now receive contact, opportunity and task events from The Pantheon, signed and retried like every other webhook event.
Brand the business app
Give the business app your own name, logos, favicon, app icon, colors, header look and sign-in page, for all your clients or one client on its own. Readability is checked for you.
Automations
"When something happens, do these steps", built on a visual canvas: triggers, steps, If / else paths, waits, goals and settings. How switching on, publishing and versions work, and who can build them.
Automation triggers and steps: every one explained
Every trigger that can start an automation and every step it can take, what each one's settings mean, and the conditions you can use in If / else, waits, goals and filters.
Test an automation, follow its runs and fix what needs attention
Test with a contact before switching on, see every person's trip through the automation step by step, retry failed steps, read the stats, and find out why it didn't start for someone.
Add people to an automation
Add one contact, a selection, a smart list or everyone in a list to an automation, now, at a set time, or in batches over time.
Business values
Values for the whole business, like a review link or opening hours, that emails and automations fill in with {{business.<key>}}. Change one in Settings and every email uses the new value.
Automation templates (built-in and your agency's)
Start from a built-in template, or save automations from your agency's own business as a template and install it into any client's business, with the pipelines, fields, tags and emails it needs.
Email settings, sending domains and addresses
How the business app sends email: the standard sender, your own domain and addresses, replies kept in the business app (never forwarded), the postal address, the daily limit, and pausing after bounces.
Email templates and emailing a contact
Saved emails built from text, image, button and divider blocks, with merge values, a preview and a test send. Email a contact one-to-one from their page; replies come back to their Activity history.
The do-not-email list and unsubscribing
Who the business app never emails (unsubscribed, bounced, marked as spam, added by you), how the unsubscribe link and one-click unsubscribe work, and what an unsubscribe stops.
Business app email usage
Which business app emails are free and which are paid from your agency's usage balance, and where to bill them to a client.
The Conversations inbox
One conversation per contact with every email in and out, comments and events. Mine, Team and Unassigned; Unread, Recent, Starred, All and Archived; filters, saved views, assigning, following, live updates and keyboard shortcuts.
Replying, comments and forwarding in Conversations
Reply by email with CC / BCC, attachments, saved replies, merge values, a sender and your signature; drafts kept per conversation; internal comments with @mentions; forwarding an email; reviewing an AI app's draft.
Saved replies
Reusable replies for the Conversations inbox, with merge values, grouped in folders, just for you or shared with the whole team.
Phone numbers (get a number, bring your number, release)
Give a business its own phone numbers in the business app: search by area code or city, name them, pick the main one, bring an existing number over, and release one safely.
Text-enable a landline (keep its calls where they are)
Let customers text the business's existing landline or office number in the business app, while its calls stay with its current phone company — a check, a code, a signed letter and a phone bill, then 1–3 days' review.
Texting set-up (carrier registration)
Register a business with the US carriers so its numbers can text: the form, our checks before the fee, agency review, sole proprietors, how long it takes, and how to fix a rejection.
Texting customers (inbox, STOP, rules and costs)
Two-way texts and picture messages in Conversations, text permission and the consent box on forms, STOP / START / HELP, texting hours, limits, automations that text, and what's billed.
Calls (browser calling, call me first, the call log, missed calls)
Make and take calls on the business's numbers in the business app — from the browser or by ringing your own phone first — and see every call, missed call and voicemail in the call log and the contact's conversation.
Where calls go (ring groups, hours, menu, voicemail, recording)
Set where each number's calls ring — team members in the browser or on their phones, all at once or in turn — business hours, an optional "press 1 / 2" menu, voicemail with your own greeting, call recording and transcription.
Call tracking (tracking numbers, the website number swap, calls by source)
Give each marketing source its own phone number, let the business's Mount Olympus website show the right number to each visitor, and see which sources bring calls, texts, bookings and won work.
Phone menus, holiday hours and voicemail drops
"Press 1 for sales" menus (with a second level), what calls do on holidays, and recorded voicemail messages you leave with one click — or that an automation leaves after the beep.
My notifications
Choose how you hear about things in a business app: the bell, email and phone per notification, only yours or all you can see, quiet hours, a daily summary email, and your time zone.
Connect your calendar and video apps
Connect your own Google, Microsoft (Outlook and Teams) or Zoom so your bookings go into your calendar, your busy times stop people booking you, and video bookings get their own meeting link.
Notification defaults for the whole business
Owners and managers choose the business's default notifications, quiet hours and daily summary, and can change a team member's own choices.
The Business Hub app (iPhone and Android)
The phone app for the business app — coming to the App Store and Google Play. Who can use it, signing in, notifications on the phone, calls on the business number, and how it shows your agency's branding.
The Assistant (answers chats, emails and texts)
A named Assistant that answers website chat, emails and texts from the business's own knowledge: Off, Suggest or Auto-reply per channel, booking appointments from your calendars, hand-offs with a summary note, cost, and Try it.
Knowledge for the Assistant
Teach the Assistant with web pages, a whole website, a Mount Olympus site, files, FAQs and notes; how often websites are re-read, the limits, trying a question, and filling the gaps it couldn't answer.
Website chat
Add a chat bubble to a Mount Olympus site in one click or to any other website with a snippet, choose what it asks first, which websites may use it, and how chats arrive in Conversations.
Paying for usage (for businesses)
For a business whose agency bills its usage: Settings → Usage shows texts, calls, emails and Assistant replies month by month, your prices and invoices, and where to add or update the card.
Invoices and getting paid
Send invoices to your customers from the web or the phone and get paid by card, Apple Pay, Google Pay or bank debit into your own payment account — with reminders, late fees, Mark paid, refunds, recurring invoices and reports.
Estimates (quotes) with online acceptance
Send an estimate your customer accepts online with their typed name, a tick and an optional drawn signature, then turn it into an invoice in one click — or automatically, with a deposit at acceptance if you like.
Settings → Payments: methods, tax, numbering and reminders
How customers pay your invoices — the payment account, cards, Apple Pay, Google Pay and bank debit, tax rates or automatic sales tax, numbering, due dates, reminders, late fees and payment instructions.
Invoices on the phone (text-to-pay and QR codes)
Make and send invoices from the Business Hub phone app at the customer's door — text-to-pay, email, the share sheet or a QR code to scan — mark cash and check payments, refund, and get a notification when you're paid.
