Connect your calendar and video apps

Connect your own Google, Microsoft (Outlook and Teams) or Zoom so your bookings go into your calendar, your busy times stop people booking you, and video bookings get their own meeting link.

Updated October 17, 2026

Settings → My integrations in the business app is where each person connects their own calendar and video apps. Everyone sees and changes only their own: nobody can connect an app for someone else, and your agency's own Google connection (for Search Console and Analytics) is a different thing.

What each app does

  • Google: your bookings go into your Google Calendar, your busy times there stop people booking you, and video bookings can get a Google Meet link.
  • Microsoft (Outlook and Teams): the same with your Outlook calendar, and Microsoft Teams links.
  • Zoom: a unique Zoom meeting for each video booking.

Click Connect, sign in to the app and allow access. You come back to My integrations with "Connected". Disconnect stops everything at once: bookings stop going into that calendar, its busy times stop blocking you, and new video bookings use the usual meeting link.

If a button says "Not connected yet: your admin needs to add the app keys", the app hasn't been set up for the platform yet.

Your bookings in your calendar

Tick Add my bookings to this calendar and pick where they go (My main calendar unless you choose another). Each booking shows the service, the customer's name and phone, where it is, the meeting link and the booking reference. Prices are never added. When the booking moves, it moves in your calendar; when it's given to someone else, it leaves your calendar and goes into theirs; when it's canceled, it's deleted.

Busy times

Tick Don't let people book me when these calendars say I'm busy and choose the calendars. Only the times are read, never what the events are. Events marked "free", canceled events and the bookings we put there ourselves never count.

Nobody can book you over something in your own calendar:

  • Checked at the moment of booking. Before a booking, a move or an approved change is confirmed, we look at your connected calendars for that exact time. If you're busy, the customer sees "That time was just taken" with the next free times, and nothing is booked.
  • If your calendar can't be reached (Google or Microsoft is down, or the connection needs connecting again), the booking is stopped too, with a plain message to try again. An owner or manager can change this per calendar: Calendar settings → the calendar → Rules & limits → Book even if a team member's own calendar can't be checked.
  • Fresh on the booking page. When a customer opens the booking page, your busy times for the days shown are read again (at most once a minute), so taken times rarely show.
  • Updated as you change your calendar. Google and Microsoft tell us straight away when an event changes, and we re-read your busy times. If that ever stops working, we still read them every hour (every 10 minutes for calendars we can't get updates from).

A unique meeting link for each video booking

When an appointment service is a video one and set to use Zoom, Google Meet or Microsoft Teams, each booking gets its own meeting from the app of the staff member it's with. The link goes into the confirmation, the reminders and the calendar. Moving the booking moves the meeting; canceling deletes it; giving it to another staff member makes a new meeting in their app.

If the staff member hasn't connected that app, or the app can't make the meeting, the booking uses the service's (or the staff member's) usual meeting link instead, and the staff member gets one notification: Calendar or video app problems in My notifications.

When something stops working

If an app's connection expires or is removed on the app's side, My integrations shows "This connection stopped working. Connect it again." and you get a notification. Your bookings keep working in the meantime; only the calendar and the meeting links wait until you connect it again.
