Set up appointments — services, staff & hours, settings

The appointment screens in Calendars → Calendar settings: Appointment services (categories, rooms, padding, processing, variations, who does it), Staff & hours, Appointment settings, and the time checker.

Updated October 22, 2026

Appointments are set up in the business app under Calendars → Calendar settings. The appointment steps (Appointment services, Staff & hours, Appointment settings and Why isn't this time free?) show once the business has its first appointment service: add it from Services ("Start with your most booked one, e.g. Haircut, 45 min, $55"). For how appointments work overall, see Appointments.

Appointment services

"What customers book: a haircut, a massage, a consultation. Each has a length and a price; staff can have their own."

  • Categories: groups customers see (Cuts, Color, Treatments). Drag to set the order. With none, every service is listed together.
  • Rooms and equipment: things you only have so many of ("Treatment room ×2", "Color station ×3"). A time is only offered when one is free.
  • Add an appointment service, then for each one:
    • Name, Description, Category, Length and Price;
    • Set-up before and Clean-up after: blocks the staff member, not shown to customers;
    • This service has a processing gap: for example color: apply, wait while it processes, then finish. The staff member can see someone else during the gap; the chair or room stays taken;
    • Room or equipment it needs and How many it uses;
    • Needs no staff member: for a room hire or a tanning bed, only the room or equipment is booked;
    • Where it happens: At the business, At the customer's address, Phone call, Video call, or the customer chooses; a Meeting link (Zoom, Google Meet or Teams) for video, where a staff member's own link wins;
    • Choosing a staff member: the business's setting, or for this service Customers pick a staff member, Customers pick one, or "Any available", or Customers don't pick (you assign);
    • Most a day for this service, and Offer this service (off: hidden everywhere and can't be booked).
  • Variations (save the service first): other lengths or versions with their own price, such as "Short hair 30 min $40" and "Long hair 60 min $70". Customers pick one.
  • Who does it: everyone bookable does it until you change it. Untick someone, or give them their own price or length (a senior stylist $85 for 60 minutes, a junior $55 for 75). Once you tick names, only the people ticked can be booked for it.

Staff & hours

"Who customers can book, and when each person works. Staff are your business app team members; a new one is added to the team without a login."

  • Add a staff member: name, email (their appointment emails go here), phone, Photo link, Short bio, and Customers can book them online (off: you can still book them by hand from the calendar).
  • Hours: for each day, Add hours and Add a break. "Customers can only book inside these hours, and inside the business's own opening hours. Breaks are times they can't be booked." Save hours.
  • One-off dates: different hours on one date ("Saturday 14 Dec: 10:00–14:00 only"); leave the hours empty for a day off.
  • Time off: holidays, appointments of their own, a half day (Only part of the day). They can't be booked then.
  • Their own Gap between appointments (empty = the business's gap), Most appointments a day, week or month (empty = no limit), and Own meeting link for video appointments.
  • Calendar links and Block busy times from their own calendar: see Appointments → Calendars.

A staff member signed in to the business app sees My hours and time off and can change just their own.

Appointment settings

"How appointments are offered and booked. Changes save straight away."

  • Choosing a staff member: the default for every service (a service can override it).
  • "Any available" goes to: Whoever has the fewest appointments that day (spreads the work), or The first free person, in your staff order.
  • Start times every: how far apart offered start times are (15 minutes, for example).
  • Gap between appointments: kept free after each appointment; a staff member's own gap wins.
  • Most a day (all staff): the business's daily cap.
  • "Manage your appointment" link: in every customer email, following your cancellation policy (free until the cut-off, then the fee): Customers can reschedule or cancel, Customers can only cancel, or Off — customers contact you.
  • Send a second reminder: on top of the usual reminder the day before, for example 2 hours before.
  • Customers can make an appointment repeat, and Repeat up to a number of months ahead.
  • Share and embed is on this page too (see Booking pages and the customer's side).

Why isn't this time free?

"See every start time for a day and why each one can or can't be booked — the same check customers get. Click a free time to see its price."

Pick a date, a service (or a visit with several) and a staff member (or Any staff member). Every start time shows ✓ Free or the reason it isn't (outside working hours, a break, time off, already booked, set-up or clean-up time, the gap, busy in their own calendar, too soon, too far ahead, a limit, no room free). Ignore minimum notice and how far ahead is useful for testing a date in the past or tomorrow.

Test a booking: click a free time to see exactly what the customer would pay (price, discount, tip, tax, total) and the words they agree to, without booking anything.
