Booking adds a booking form to a client's website. Customers pick a trip, see every vehicle with its full price, and book. It's built for ride businesses first (limousines, black cars, shuttles and airport transfers), and the same setup will cover appointments and rentals later.
Where booking lives
Booking belongs to the business, in The Pantheon (the business app), not to one website. A business has one booking setup (services, prices, rules, payments, drivers and booking emails) and switches it on for each website that should take bookings.
- Open the business app for the client (Clients → client → Business app, or The Pantheon's switcher) → Calendars → Calendar settings → Set up bookings.
- Work through the setup checklist below.
- Under Websites, tick This website takes bookings for each website. The dashboard's Websites → Booking page for a site now just says booking is set up in the business app, links there, and has the same switch.
What it costs
Booking is free. It's part of The Pantheon (the business app), so it comes with the Growth and Agency plans; there's no charge per website and nothing is added to your bill, however many websites take bookings. Customers pay the business directly through its own payment account.
Switching a website off, or unpublishing it, stops bookings on that site. The setup is kept.
Who sets it up
Your agency sets booking up. The business's owners and managers can change hours, daily limits, tips and price lists only when you switch Booking prices & rules on for that client (Clients → client → Business app; off by default). Without it they see Your agency manages your booking prices and rules. Ask them if something needs changing., and still see and run their bookings. Connecting the payment account is always done by the agency.
The setup checklist
The left side of the page is a checklist. A tick shows each step that's done; steps marked optional can be skipped.
- Payments: connect the business's own payment account, once for the business (see Booking payments).
- Business basics: the business name and reply-to email for emails, the time zone, the booking window, pickup hours and closed dates.
- Vehicles: each vehicle class and how many of it the business has.
- Services: what customers book, point to point or by the hour, and how they pay.
- Pricing: the price for each vehicle on each service.
- Service area, zones & places (optional).
- Flat fares (optional).
- Rules (optional).
- Extras, coupons, tips & tax (optional).
- Questions & agreements (optional).
- Test a trip: check a price before customers see it.
The checklist also has Drivers (optional), Emails and Webhooks (optional). Bookings themselves are in the business app's Calendars screen (see Manage bookings). Then add the Booking widget to a page of each website that takes bookings.
Business basics
- Business name: the name booking emails use (up to 70 characters). The emails are sent from the business's sender in Settings → Email (see Booking emails).
- Reply-to email: kept for older booking setups. Customers' replies come into the business app only (on the customer's emails and Activity history), never to another mailbox.
- Send new-booking emails to: the addresses that get every new booking.
- Time zone: pickup times are in this time zone.
- Longest trip: trips longer than this can't be booked online. Leave it empty for no limit.
Booking window
- Minimum notice: how soon before pickup a booking can be made (for example 2 hours).
- How far ahead: how many days ahead customers can book. 0 means no limit.
- Confirm bookings by hand: new bookings wait as Pending until the business confirms them. When it's off, bookings are confirmed straight away.
Double-booking protection
This is on from the start. A vehicle class shows as booked up when all its units are busy at that time, so the business never takes more rides than it has cars.
- Time between bookings: a buffer added before and after each ride.
- Hold while paying: while a customer checks out, the vehicle is held for them for this many minutes, so two people can't book the last car at once.
- Daily limits (optional): the most bookings a day, overall or per vehicle class, on chosen days.
Pickup hours
Choose Open 24 hours (common for airport work) or Set hours per day. A day with no hours is closed.
Closed dates
Add the days, or part of a day, when nothing can be booked. Tick Every year for dates such as Christmas Day, so they keep working next year. Closed dates for one vehicle class (for example a car in the shop) are added on the Vehicles step.
Policies
The terms and cancellation policy are shown at checkout, next to the agreement box.
