Booking rules, extras, coupons, tips, tax and Test a trip

Change prices with rules (holidays, late nights, tolls, busy days), add extras and coupons, set tips and tax, ask extra questions, and use Test a trip to see exactly how a price is built.

Rules

A rule changes prices for certain trips. Each one reads as a sentence, for example "When on Thanksgiving or Christmas Day → add 25%" or "When picking up 11pm–4am → add $20.00".

  1. Open Rules and click Add rule.
  2. Give it a name. It's used as the price line's name, such as "Holiday surcharge".
  3. Under When, add conditions. All of them must match; with none, the rule matches every trip. You can use:
    • service, vehicle class, pickup zone and drop-off zone (with Either direction);
    • dates (tick Every year so they repeat), named US holidays, days of the week and pickup time of day (a time that ends before it starts runs past midnight);
    • booked at short notice, trip distance, drive time, hours booked, passengers, bags, and the first ride or the return ride.
  4. Under Then, add one or more changes:
    • add or take off an amount or a %;
    • add a named line, such as a $5 toll;
    • set a rate, or change a rate by an amount or %;
    • make the price at least an amount;
    • don't offer the vehicle (with a reason customers see, such as "Hourly only").
  5. Stop here: when on, the rules below this one don't run when it matches. When off, the next matching rule applies too.

Rules run top to bottom. Drag the grip to change the order. A warning shows next to a rule that can never match (its zone was deleted, its dates are in the past, or a rule above it matches every trip and stops), and next to a rule that sets a price to $0.

Minimum fares and minimum hours are applied after the rules.

Extras

Add-ons such as a child seat or champagne. Pick how many: just one, the customer picks, one per passenger, or one per hour booked. Always added makes it mandatory. An extra can be limited to some services or vehicles, and has its own tax rate.

Coupons

A code customers type at checkout, for a % or a $ amount off. Set total uses, uses per customer (checked by the customer's email), start and end dates, and limit it to some services or vehicles.

Tips

When Add a tip is on, the tip is a % of the price before tax and isn't taxed. Add it automatically, or let the customer pick from choices (for example 15, 20 and 25%), and optionally type their own. The business can change the tip on the final charge after the ride.

Tax

Add tax rates (for example "Sales tax 8%"). Tax is added on top of the price, line by line. Each vehicle's prices and each extra pick a rate, and the Default rate is picked for new ones.

Questions and agreements

Questions are extra fields on the booking form; name, email and phone are always asked. Add flight number & airline adds the usual airport questions. Agreements are boxes the customer must tick, such as "I agree to the cancellation policy".

Questions can never ask for card details. Card numbers are only ever entered into the secure payment form at checkout, never stored by us or the business.

Test a trip

Check a price before customers see it.

  1. Open Test a trip and pick the service and pickup time.
  2. Choose Type the miles (pick from / to zones or places and type the miles and minutes) or Real addresses (the map measures the route).
  3. Add passengers, bags, hours or a return ride, extras, a coupon and a tip.
  4. Click Price this trip.

Each vehicle shows its total, whether customers can book it (and why not), every price line, and How this price was made: the pricing model, the flat fare, every rule that fired, minimums, the coupon and the tip. Tick Ignore the booking window to price a trip that's too soon or too far ahead to book online.
