Bookings are in the business app: Bookings in its menu ("Bookings from your website: list and calendar. Open one to confirm, change, cancel or refund it."), for every website of the business that takes bookings. On a phone, Bookings takes Opportunities' place in the bottom bar once booking is switched on.
The dashboard's old Bookings page now opens the business app.
Business app or client portal
A client's bookings are run in one place only, picked for you:
- The business has the business app (you switched it on for the client and your plan includes it): bookings are run in the business app, on the web and in the Business Hub phone app. Their client portal has no Bookings tab.
- The business doesn't have the business app (it's switched off for them, or your plan doesn't include it) but has online booking: their client portal gets a Bookings tab instead, for everyone you invited to the portal. It's the same screen as the business app's: search and filters, List, Month, Week and Day, Export CSV, and a booking's Confirm, Edit trip, Cancel booking, No-show, Mark completed, payments and Refund. Appointment and rental bookings show their details there; moving an appointment or a rental's own steps stay in the business app.
When that changes (you switch the business app on or off for them, or your plan changes), the right place shows by itself straight away. Both places use the same booking history, the same customer emails and the same payments, so nothing is lost when bookings move.
Client → Settings → Bookings & refunds shows where this client's bookings are run and has their Refunds switch (see refunds). While you view as the client, the portal's Bookings tab is read-only.
Today, online booking itself needs the business app: a website's booking form only takes bookings while the business has it. So the portal's Bookings tab is mainly for a business that had bookings before the business app was switched off, or before a plan change, so they can still confirm, cancel, finish and refund them.
Customers are contacts
Every customer is a contact in the business app, found by email or phone like any other lead. A contact's page shows their Bookings and their Saved cards (brand and last 4 digits only), and every booking event (made, confirmed, changed, completed, canceled, no-show, payments) is on their Activity history.
Find bookings
Search by reference, customer name, email or phone, and filter by Status, Payment, Driver, Vehicle and dates. Export CSV downloads what's on screen (with the same filters) for a spreadsheet.
Switch between List, Month, Week and Day. The week and day views show how many of each vehicle class are busy at once, for example Sedan: 2 of 3. It turns red when every unit is booked. Click a day number to open that day.
Work with one booking
Click a booking to see the trip, the customer, their answers, how the price was made, payments, the emails sent and the history. What you can do depends on its status:
- Confirm: for bookings waiting to be confirmed (when Confirm bookings by hand is on). The customer is emailed.
- Edit trip: change the addresses, times, passengers, bags, waiting time or vehicle. The booking is re-priced with your current prices; extras, coupon and tip stay as booked. If the vehicle isn't free then, you're told. The customer (and driver) are emailed the change.
- Cancel booking: type a reason (it's sent to the customer) and how much to keep. Inside the free-cancellation time the suggestion is $0; after it, your cancellation fee. Anything paid above that is refunded, a hold is released or used for the fee, and with only a saved card the fee is charged to it.
- No-show: the suggested charge comes from your no-show policy. Charge all of it, part of it or nothing.
- Final charge, Mark completed, Release hold, Refund, Retry payment and Card link for the customer: see Booking payments.
- Re-send an email: send the confirmation, receipt, reminder, trip sheet or card link again.
Drivers
Drivers are team members of the business. Add them under Calendars → Calendar settings → Staff, services & setup → Drivers with their name, email and phone; a driver is a team member without a login, so they don't need an account. They can be given a login later from the team list, and then see My bookings: with Only their own bookings on (the default for drivers) they see just the bookings they're on, without other people's prices or payments.
Pick a driver in a booking's Driver box. They're emailed the trip sheet straight away, and a reminder before pickup if Driver reminder is on in Emails. If you change the driver, the old one is told they're off the job. You can also set a default driver for each vehicle under Vehicles.
