In the business app, Calendars opens on the Calendar tab (staff on Only their own bookings see My calendar: just their own column). List is every booking (see Manage bookings), Waiting for approval holds customers' reschedule and cancel requests, and Calendar settings is where the calendars are made (see Calendars).
Day, week and month
- Day: one column per staff member, side by side, with their working hours, breaks and time off shaded.
- Week: one staff member's week, or everyone's (Whose week).
- Month: every day with up to three bookings and "+N more"; click a day to open it.
Move with Previous, Today, Next or Go to date. Show canceled adds canceled appointments.
All calendars shows everything; tap one or more calendars to show only those. Each booking has its calendar's color down its left edge, and small marks: a tick when the customer is checked in, a speech bubble when there's a customer note, and two people when it's part of a collective meeting (it shows in every member's column).
Book by hand
Click an empty time to book: "A phone or walk-in booking, paid later. The customer gets the usual confirmation email." Pick the Calendar first if you like (a personal, round robin or collective calendar books its own meeting; a service menu its services), then Find a contact by name, email or phone (or type a new customer), pick the service (and more for the same visit), the staff member and the time, add Notes (optional), and Book now. You can tick Make this appointment repeat too. Allow times inside the minimum notice is for a booking you're making with the customer right now.
Move by dragging
"Click an empty time to book. Drag an appointment to move it — the new time is checked before anything changes." Drop it on a new time (or another staff member's column) → Move this appointment shows the New time and asks, for a repeating appointment, Move only this one or Move this and every later one by the same amount. Tick The customer asked for this when they did: it counts as one of their reschedules if the calendar limits them. A time that isn't free is refused before anything changes. The customer is emailed the new time.
One appointment
Click an appointment to see the customer, the services with their staff and times, where it happens (with the video link), the customer's time zone when it differs, payments and notes. From there:
- Check in when they arrive (it shows Checked in with the time);
- Change the time (the same check as dragging);
- Cancel the appointment, or for a repeat Cancel this and every later one, under your cancellation policy;
- the usual booking actions (confirm, complete, refund) as in Manage bookings.
Waiting for approval
When a calendar's rules say you approve changes first, a customer's new time or cancellation waits here (the Calendars item shows how many). Approve checks the new time again before it's moved; Decline leaves the booking as it was. Add a note for either if you like. The customer's manage page shows the request as waiting until you decide.
For staff
A staff member with a login sees My appointments: their own column and appointments only, never other staff's prices or payments, and can change their own hours and time off (Calendars → Calendar settings → Staff, services & setup → Staff & hours → My hours and time off).
