The booking steps
On the website's Booking widget, the hosted page or an embed, customers go through:
- Service: grouped by category, with each one's length and price. A variation is picked here. Add another service to this visit adds more (a visit can have up to 6 services). They're booked back to back; if one can't fit, none is booked.
- Who would you like?: a staff member, or Any available ("The first free time with anyone"), when the service lets customers choose.
- Date & time: free days, then free times grouped Morning, Afternoon and Evening, with Next available. For phone and video appointments, Times are shown in the customer's own time zone (Your time zone, which they can change); in-person ones are in the business's time.
- Where should it be?, when the service lets the customer choose: At the business, Your address, Phone call or Video call (link in your confirmation email).
- Make this repeat (when the business allows it): Every N weeks, a number of times or until a date. Check the dates checks every date first: "Some dates aren't free: pick one of the nearest free times, or skip that date. Nothing is booked without your OK." (Skip this date, or Choose it for a suggested time.)
- Details: name, email, phone, notes and any questions, then Review & pay (or Book now for pay later): price, coupon, tip, tax, total, the terms and cancellation policy. "We're holding this time for you while you finish."
- You're booked, with Add to calendar. The confirmation email has the Manage your appointment link.
The booking page and Share and embed
Every business with booking on has a booking page of its own, on your agency's client domain when you have one. Calendars → Calendar settings → Staff, services & setup → Appointment settings → Share and embed:
- Booking page link, with What the link books: Everything (the whole booking page), One service, A category or One staff member. Copy it for Instagram, Google, Facebook or emails, or Open the booking page.
- Embed on another website: the Embed code (a short script) to paste into an HTML or embed block on any other website; it grows to fit the booking form. For sites that don't allow scripts, the Iframe code gives a fixed-height frame (900 px). Use the script when you can.
The link and the embed show the same steps as the widget, with the business's branding.
Manage your appointment
The link in every customer email opens Manage your appointment: the appointment, where it is, and, as the business's settings allow:
- Change the time: pick a new day and time ("Your appointment has been moved. We've emailed you the new time."), until the cancellation policy's cut-off;
- Cancel the appointment: shows whether canceling is free or what fee applies under the policy, with Keep my appointment or confirm ("Your appointment is canceled. We've emailed you a confirmation.").
A repeat's email lists every date with its own link, so each date can be changed or canceled on its own. With the setting Off — customers contact you, the page just says how to get in touch.
A calendar's own page
Each calendar also has its own page and embed (Calendars → Calendar settings → Calendars → Edit → Booking page). It shows just that calendar's team, times and price, and ends with the calendar's After booking choice: its message, or a jump to another page. In the Mount Olympus Booking widget, pick the Calendar to show one calendar on the site.
Managing a booking under the calendar's rules
The Manage your appointment page follows the booking's calendar: when customers can change the time and cancel online, until when, how many changes are left, and whether a change needs the business's OK. Days with nothing free are grayed out ("Full") in the day strip. A change that needs approval shows as waiting until the business decides; the current time stays until then.
