Settings → My notifications in the business app is where each person chooses how they hear about things. Each business is set on its own: if you're in two businesses, you set each one. Agency people set theirs per business the same way.
The grid
One row per kind of notification, in groups: Leads & contacts, Conversations, Opportunities, Tasks, Bookings, Money & reviews, Automations and Account. For each one:
- Bell: the notification in the app (top right). Some can't be turned off: Message from an automation, An automation needs attention and Sending problems. The bell is the record, so important things never vanish.
- Email: an email that says what happened and links back into the app. A reply's text is never in it.
- Phone: saved for the phone app. The toggles save now and work when the app arrives. In the app, Settings → My notifications changes the same Phone, Email and Bell choices and your quiet hours.
- Which ones (where it applies): Only mine means things you own, that are assigned to you or that you follow. All I can see means everything your access lets you see, for example every new lead, every reply in the team inbox, every opportunity in pipelines you can open, every booking. If you only see contacts assigned to you, this stays on Only mine.
A row you changed shows Changed. Reset to business defaults puts every row back to what the business's owners and managers chose (business defaults). You're never told about something you did yourself.
What you can be told about
- New lead: a contact's owner and followers; with nobody, the owners and managers.
- Contact assigned to me or I'm following, Opportunity assigned to me or I'm following.
- Conversation assigned to me, Contact replied, Mentioned in a comment.
- Missed call (bell and phone by default) and New voicemail (bell, email and phone, with the transcript — never the recording): whoever the conversation is assigned to, else the contact's owner; with nobody, the owners and managers. "All I can see" tells you about every missed call and voicemail you can see.
- Opportunity moved, won or lost: off by default.
- Task assigned to me, Task reminder.
- New booking, Booking canceled or changed: the staff member or driver on it; with nobody, the owners and managers.
- Payment received (off by default) and New review (coming later: it starts once reviews feed into the business app, for example from Google Business Profile).
- Message from an automation, An automation needs attention (at most one email per automation a day).
- Sending problems, Import finished, Bulk changes, form fields and your settings.
Quiet hours
Tick Use quiet hours, set From and To (for example 21:00 to 07:00) and the days. Same start and end means the whole day, handy for weekends. During quiet hours the bell still gets everything, but emails and phone notifications wait. When quiet hours end, they come as one email, While you were away, instead of one by one. Tick Let urgent ones through if you still want An automation needs attention and Sending problems right away.
Daily summary email
Tick Send me a daily summary and pick the time and days (7:00, Monday to Friday by default). It lists your tasks due today and overdue, today's bookings (yours, or all of them if New booking is on All I can see), new leads since the last summary, and your unread notifications. Skip it when there's nothing is on by default. It goes once a day.
Time zone
Quiet hours and the summary use your time zone. It starts as the business's; pick another if you work elsewhere.
Someone changed my settings
Owners and managers can open a team member's notifications from Settings → Team → Notifications. When they change yours, you get a notification saying who did.
