Tasks and reminders

To-dos with a due date, an assignee and a priority, on a contact or a deal or on their own. Lists for mine, everyone's, overdue, today, upcoming and done; reminders by bell and email; repeating tasks.

A task is something to do: "Call back about the quote", "Send the contract". It has a title, notes, a due date and time, an assignee, a priority (low, normal, high) and, optionally, a contact and / or a deal.

Where to add one

Add task on a contact, on a deal, or in Tasks. Pick the contact and / or opportunity it's about, Due, Remind, Assigned to, Priority, Repeat and Notes. A task on a contact or deal shows there and in its Activity history.

The Tasks lists

  • Mine: assigned to you, soonest first;
  • Everyone;
  • Overdue, Today and Upcoming;
  • Done.

Today shows your overdue and due-today tasks at the top. People with Only contacts assigned to them see their own tasks and the ones on contacts and deals they can see.

Reminders

Remind: When it's due, 15 minutes before, 1 hour before or 1 day before the due time (a due time is needed). When it's due, the assignee is told once: the bell, and an email unless they switched Task reminder → Email off in My notifications (quiet hours hold it).

Repeating tasks

Repeat daily, weekly or monthly, every N days / weeks / months (a due date is needed). Ticking it done makes the next one, due that much later, and says The next one is made for that date. It's only ever made once, even if two people tick it at the same moment.

Done and reopened

Ticking a task done records who finished it and when; unticking it reopens it. Both show in the Activity history.

When someone leaves

Removing a team member keeps their tasks and deals, unassigned, so someone else can pick them up.
