Settings → Payments: methods, tax, numbering and reminders

How customers pay your invoices — the payment account, cards, Apple Pay, Google Pay and bank debit, tax rates or automatic sales tax, numbering, due dates, reminders, late fees and payment instructions.

Settings → Payments in the business app decides how your customers pay your invoices.

The payment account

It's the same payment account the business's bookings use, and the money goes straight into it (ContentForge takes no fee). The card shows its state: Ready, Needs info, Restricted, Disconnected or Not connected, with a button to connect or manage it for people allowed to (owners and managers by default; it can be taken away per person).

Invoices work without one: you can still send them and mark them paid by hand, and the customer's page shows your payment instructions (for example "Pay by check to …") instead of a Pay button.

Payment methods

  • Cards — on by default.
  • Apple Pay and Google Pay — on by default; they show on phones that have them.
  • US bank debit (ACH) — off by default. It takes about 4 business days to clear, and a bank payment can still fail after it starts (the invoice then shows the balance again and you're told).

Each invoice can narrow these down.

Tax

  • Your own tax rates: add a name and a percent (for example "Austin sales tax 8.25%"), and pick one per line or per product. A rate can be included in the price instead of added on top. Archived rates stay on old invoices.
  • Automatic sales tax: if automatic tax is switched on in your payment account's own dashboard, the tax is worked out from each customer's billing address (they're asked for it before paying), and your own rates aren't used. Press Check again after switching it on or off.

Numbering and defaults

  • Invoice prefix (default INV-) and next number (default 1001); estimate prefix (default EST-) and next number. A number is only given when an invoice is first sent, so there are never gaps, and the next number can't be moved back below one already used.
  • When invoices are due by default, how long estimates are valid, whether a PDF copy goes with invoice emails and receipts, and whether accepted estimates become invoices automatically.
  • Default notes, terms and footer.

Reminders and late fees

  • Reminder days from the due date (−3 is three days before, 0 the day it's due), then every N days up to M more times. The list is copied onto each invoice when it's sent, so changing it never surprises an invoice that's already out.
  • Late fee: off by default; a fixed amount or a percent of the balance, a number of days after the due date. Added once, never compounding.
