Each month Zeus writes Google Business Profile content for the client in their brand voice. Review replies and profile updates wait on the client's Zeus tab under Zeus drafts for approval. Business Profile posts wait in the client's Content → Social tab, with the client's other social posts and a From Zeus label (see Social posts). "Nothing is posted until you approve it." Drafts are free.
What Zeus drafts
- Post (in Content → Social): a seasonal post about 4 to 6 weeks before demand for the client's services rises, or a service spotlight when the profile hasn't posted for two weeks. A severe weather alert adds an emergency post. If Google Business Profile is unticked in the client's Content → Social → Settings, Zeus doesn't draft posts. When the Zeus tab has post drafts waiting, its panel links to Content → Social.
- Review reply: a reply to each review that hasn't been answered yet. Replies to 1 and 2 star reviews are marked Needs a person. Read the review and check the facts with the business before you use them.
- Profile update: a better description, services to list, categories to add, attributes to tick, or the website's opening hours.
Drafts come with the monthly scan, so turn on Auto-scan monthly for the client (see How Zeus scans work). You can also ask for one any time on Local → Business Profile: Draft a reply with Zeus on a review, Draft a post with Zeus, or Write it with Zeus / Apply to Google on a finding in Zeus's profile check (see How to set a client's Google Business Profile).
How to approve drafts (Business Profile linked)
- Open the client and go to Zeus. The drafts panel sits near the top. The Zeus drafts notification in the bell, the weather alert email and Review the post draft on a finding jump straight to it.
- Read each draft and edit the text in the box if you like. Click Save edit to keep your changes.
- For a review reply, click Approve & post. A reply to a 1 or 2 star review needs I've read this review and checked the facts with the business ticked first.
- For a profile update, click Apply to Google. You see On Google now and After the change. Tick I've checked this is true for the business and click Apply to Google. ContentForge reads the profile again afterwards and tells you if the change is showing yet (Google sometimes reviews an edit first).
Click Discard to drop a draft you won't use. Every send is logged, added to the client's work done, and Zeus starts tracking the result.
How to use drafts by hand (not linked)
- Read and edit each draft as above.
- Click Copy, then Open in Google to open the business (or the review) in Google, and paste the text there.
- Click Mark as done. Zeus logs it, adds it to work done and starts tracking the result.
The panel also shows Link this client's Business Profile. Click Link Business Profile, pick the client's location and click Link this location, and the drafts go straight to Google from then on.
When the client approves first
If the client approves Business Profile work first, each reply and profile change shows Send for approval. It goes to Google once the client approves it, or you use Approve for the client. See Client approvals.
Examples
- A 5-star review from Jane: Zeus drafts "Thanks Jane, glad the new water heater is keeping up!" You click Approve & post.
- A 1-star review: the draft is marked Needs a person. You call the business to check what happened, edit the reply, tick I've read this review and checked the facts with the business and post it.
- A thin profile description: Zeus drafts a 700-character description. You click Apply to Google, compare On Google now with After the change, confirm and apply.
- An unlinked client: you Copy the reply, Open in Google, paste it, then Mark as done.
Limits and what it can't do
- Nothing is ever posted on its own: you click each draft.
- A Business Profile description can be up to 750 characters; other drafts up to 1,500.
- Drafts only come from Zeus scans or when you ask for one. Turn on Auto-scan monthly to get them every month.
- Drafting on demand and Apply to Google need the profile linked.
- Profile updates are only applied with Apply to Google (after you see the change), never with Approve & post.
- The panel is hidden when there's nothing to approve.
- Client people never see Zeus drafts. They see the finished work in their portal's work done list.
Credits
Zeus's drafts are free, including ones you ask for on demand. Sending them to Google is free.
Who can use it
- Read, edit, copy, discard, Mark as done and Approve & post: anyone on your agency team with the Clients tool.
- Apply to Google, Draft a reply with Zeus, Draft a post with Zeus and Write it with Zeus: also need the Zeus tool. Without it the Zeus buttons are hidden, and Zeus's profile check says "Zeus is switched off for your account. Ask your agency owner."
- Client people can't use drafts. A client login trying a Zeus action gets "Zeus is only available to your agency".
Troubleshooting
- Zeus is switched off for your account. Ask your agency owner to turn it on.: your Zeus tool is switched off. An Owner or Admin can turn it back on under Tools on your row in Settings → Team Members.
- "Too long for Google (max 1500 characters)" or (max 750 characters): shorten the text, then Save edit.
- "The draft is empty": type the reply or post text before saving.
- "This draft was already handled": someone else posted, applied or discarded it. Refresh the page.
- "A negative review — confirm you have read it and checked the facts before posting the reply.": tick I've read this review and checked the facts with the business, then Approve & post.
- "Profile changes are applied with Apply to Google — review the change first, then confirm.": use Apply to Google for profile updates.
- "Link this client's Business Profile first (Client → Settings → Google Integrations), or post it by hand.": link the profile, or use Copy, Open in Google and Mark as done.
- Business Profile posting isn't available yet: if you see a message that Business Profile access is switched off, sending to Google isn't available on your account yet. Use Copy, Open in Google, then Mark as done.
- "Google needs reconnecting — it stopped accepting the saved Google sign-in. Reconnect Google, then try again.": an Owner or Admin reconnects Google in Settings → Google Connection.
- "Google says the connected Google account can't manage Business Profiles…": reconnect Google and allow Business Profile access, or connect the Google account that manages this business.
- "Google's limit for Business Profile requests was reached for the moment. Wait a minute and try again.": wait a minute, then try again.
- The Apply to Google button is grayed out: save your edit first ("Save the edit first").
- No drafts this month: check Auto-scan monthly is on. Post drafts live in Content → Social, not on the Zeus tab.
