How to record work done for a client

Everything done for a client this billing period. Zeus's checks and published blog posts are added automatically, and you can add your own items. It shows in the client's portal and monthly email.

Updated October 15, 2026

The Work done this period card on a client's Zeus tab lists everything done for the client in the current billing period. The client sees it in their portal and in the monthly email. Use it to show clients the value of your work without writing a report by hand.

Three kinds of items appear:

  • Zeus findings you marked Executed: added automatically, with the Zeus icon and the date
  • Zeus's checks and published blog posts: added automatically each time a check finishes or a post goes live (see below)
  • Items you add by hand: anything else your team did, such as a photo shoot, a call or a listing cleanup

Added automatically

When one of these finishes for the client, an item is added for the day. Clients see the wording below. It never mentions Zeus. Where the run has real numbers, a short detail line is added, such as "12 keywords checked, 3 improved". On this card the item is marked Added by Zeus or Added automatically.

  • Reviewed local map rankings for core keywords: map scan (Zeus's monthly scan, Summon Zeus, or a map scan you run for the client). Shown to the client when Google Map Pack rankings is on.
  • Reviewed keyword rankings: keyword rank check. Shown to the client when Keyword rankings is on.
  • Analyzed monthly website statistics: Search Console or Google Analytics read during a Zeus scan. Shown to the client when any search or website traffic item is on.
  • Reviewed results and planned next steps: Zeus writes this month's findings. Always shown to the client.
  • Audited the website's search markup and FAQs: schema and FAQ audit of the Mount Olympus site. Always shown to the client.
  • Tested website speed on mobile: page speed test. Always shown to the client.
  • Checked business listings across directories: citation audit. Shown to the client when Citations built is on.
  • Reviewed local competitors: competitor refresh. Always shown to the client.
  • Checked Google Business Profile and reviews: the Google Business Profile and reviews refresh. Always shown to the client.
  • Reviewed Google Ads performance: Zeus Ads Review (monthly or Run review). Shown to the client when any Google Ads item is on.
  • Checked AI search visibility: AI Visibility check. Shown to the client when AI visibility is on.
  • Reviewed backlink profile: backlink snapshot (monthly or Run analysis). Shown to the client when either backlinks item is on.
  • Ran a full local SEO audit: a local SEO audit report matched to the client. Always shown to the client.
  • Reviewed Google Business Profile for improvements: GBP Optimizer run for the client. Always shown to the client.
  • Updated the Google Business Profile description / categories / services / hours / attributes: a change applied to Google from Local → Business Profile (Apply to Google), or a Zeus profile change you marked done after making it in Google. Added once per change. Always shown to the client.
  • Posted an update / an offer / an event to the Google Business Profile: a Business Profile post published to Google from Local → Business Profile → Posts, an approved Zeus post draft, or Post to Google on Content → Social. The detail line is the offer or event title, or the start of the post. Links to the post on Google when Google gives a link. Also added when a Business Profile post is marked as posted by hand on Content → Social. Added once per post. Always shown to the client.
  • Updated a post on the Google Business Profile / Removed a post from the Google Business Profile: posts edited or deleted on Local → Business Profile → Posts. One item a day with the count ("Updated 3 posts on the Google Business Profile"). Always shown to the client.
  • Replied to a 5-star Google review: review replies from your team (the Reviews panel, or an approved Zeus reply draft). One item a day: one reply names its stars; more say how many ("Replied to 4 Google reviews") with the stars in the detail line. Edited and removed replies count in the same item ("1 reply updated · 1 reply removed"); a day with only edits says "Updated the reply to a Google review", only removals "Removed the reply from a Google review". Always shown to the client.
  • Google review reply posted from the client portal: a client person with Reply to reviews replied in their portal. One item a day per person, with their name ("By Jane Smith") and the count ("3 Google review replies posted from the client portal"); their edits and removals count too. Always shown to the client.
  • Added a photo to the Google Business Profile / Removed a photo from the Google Business Profile: photos added or deleted on Local → Business Profile → Photos. One item a day with the count ("Added 3 photos to the Google Business Profile"); the detail lists what the photos show ("Cover photo, Exterior"). Always shown to the client.
  • Confirmed the Google Business Profile used for map rankings and listing checks: Use the linked profile everywhere on the Business Profile card, or a listing confirmed on Local → Business Profile. Once a day. Always shown to the client.
  • Updated Google reviews shown on the website: the weekly Google reviews refresh on the client's site, at most once a month. Always shown to the client.
  • Published blog – post title: a blog post goes live on the client's Mount Olympus site. The item links to the post. Always shown to the client.
  • Built a business listing on directory: a citation marked Mark as built on Local → Citations, added as built, or one you submitted that turned Live (set by you or found by the automatic re-check). The item links to the listing. Added once per listing. Shown to the client when Citations built is on.
  • Posted to network: a Facebook, Instagram or LinkedIn post marked Mark as posted on the client's Content → Social tab ("Posted to Facebook"). The detail line is the start of the post; the item links to the live post when you gave its link. Added once per post. Undo posted or deleting the post removes it. Posts Zeus wrote are marked as his. Always shown to the client. See Social posts.
  • Press release distributed: headline: a release marked Mark as distributed on the client's Content → Press Releases tab, or published by our distribution. The item links to the client's Press release results page in their portal (pickups with their live links and dates). Added once per release. Always shown to the client. See Press releases.

Good to know:

  • Only a check that finishes adds an item. A step that was skipped (for example because its data was refreshed less than 7 days ago) or failed adds nothing.
  • Each check adds one item per day. A retry or a second run on the same day doesn't add it again.
  • A blog post is added once, when it first goes live. Publishing an edit, or unpublishing and publishing again, doesn't add another. A scheduled post is added when it goes live.
  • If an item's section is switched off in the client's portal, the item stays on this card, marked Not shown to the client, and is left out of their portal and monthly email. Turn the section on in Client → Settings → Dashboard settings to show it.
  • You can edit or delete automatic items like any other item.
  • Business Profile work that came from Zeus (a change from his profile check, an approved post or reply draft, a photo added from his photos finding) shows From Zeus's Edict / Decree / Omen: its title on this card. The client sees only the plain wording.
  • Busy days stay short: review replies, post edits and deletes, and photos are one item a day each, with the count kept up to date as you work. Profile changes and new posts are one item each.

How to add an item

  1. Open the client and go to Zeus.
  2. On the Work done this period card, click Add work done.
  3. Enter What was done. Optionally add Details for the client (optional) and change Date completed (it starts as today).
  4. Click Add.

To change an item you added, click the pencil. To remove it, click the bin, then Delete. Executed findings can't be edited here. To take one off the list, set the finding back to another status.

How to preview the monthly email

Click Preview this month's email on the card to see the email as a client person would get it. Click Send test to me to send yourself a copy. See the monthly overview email.

Good to know about the card

  • The period follows the client's billing day, shown under the card title.
  • This is the same list as the work items in the client's portal settings on Client → Settings. Adding an item in either place shows it in both.
  • How work items appear to the client (title only, or with details) follows the client's portal settings.
  • Only your team sees this card. Client logins never do.
  • Clients see work done only while Work completed list (or Work completed count, for the number alone) is on in their portal.

Examples

  • A photo shoot: click Add work done, enter "Photographed the new showroom", add "40 photos added to the website gallery" as details, and click Add.
  • A busy review day: you reply to 6 reviews. The card shows one item, "Replied to 6 Google reviews", with the stars in the detail line.
  • A monthly report: at the end of the period you click Preview this month's email to check the list, then Send test to me before the client's email goes out.
  • A section switched off: the client doesn't want to see citations, so Checked business listings across directories shows Not shown to the client and stays out of their portal.

Limits and what it can't do

  • The card shows the current billing period only.
  • Executed Zeus findings can't be edited here; change the finding's status instead.
  • Each automatic check adds one item a day at most. Skipped or failed checks add nothing.
  • Client people can't add, edit or delete items.

Credits

Work done is free. Adding items, the automatic items and the email preview cost nothing.

Who can use it

Anyone on your agency team with the Clients tool can add, edit and delete items and preview the email. Members limited to some clients only see those clients. Client people never see this card; they see the list in their portal while Work completed list (or Work completed count) is on.

Troubleshooting

  • "Title is required": type what was done before clicking Add.
  • "Could not save" or "Failed to add item": try again. If it keeps happening, reload the page.
  • An item says Not shown to the client: its section is switched off in Client → Settings → Dashboard settings. Turn it on to show it.
  • The client can't see work done in their portal: turn on Work completed list or Work completed count in the client's portal settings.
  • A check ran but no item appeared: it was skipped (its data was refreshed in the last 7 days) or it failed. Only a finished check adds an item.
  • A blog post I republished didn't add a second item: that's on purpose. A post is added once, when it first goes live.
  • I can't edit an Executed finding: set the finding back to another status on the Zeus tab to take it off the list.
