How to collect photos with a client upload link

Turn on a client's upload link so they can send you photos and videos from their phone or computer, then sort, view, download and send them to their site from Client → Media.

Updated October 15, 2026

Every client has their own upload link. Your client opens it, picks photos or videos, and they land in the client's media in ContentForge. No login needed. Videos have their own box on the same page; see How clients upload videos.

How to share the upload link

  1. Open the client and go to Client → Media.
  2. Under Client Upload Link, switch the link on. It shows Upload Link Enabled.
  3. Click the copy button and send the link to your client.
  4. Optional: click Create Folder under Media Gallery first (type a name in Folder name...). Your client can then pick that folder when they upload.

What your client sees

The page shows your agency name and logo with Media Upload under it, then Upload photos & videos for … (the client's name) and how many photos they've sent, like "120 / 1000 photos uploaded" and "880 slots remaining".

  1. If you've made folders, they choose one under Upload to folder (optional), or leave it on No folder (root).
  2. They drag in or select photos. Phone photos (HEIC) are converted automatically.
  3. They keep the page open until every upload finishes. The page reminds them: "Please keep this page open until all uploads are complete".

Upload Guidelines at the bottom repeats the formats and sizes.

Seeing what's new

Every photo shows when it arrived and where it came from, under the photo: "Today · Upload link", "Today · Client portal", "Yesterday · Onboarding", "3 days ago · Agency", "Oct 9 · Imported" (images from an imported website, in the folder Imported from …), then the date ("Jul 20"). Hover for the exact time.

  • Newest first is the default. Change it to Oldest first or Name A–Z.
  • Photos your client sent since you last opened Client → Media get a New badge. The tab shows the count ("Media 12 new") and so does each folder.
  • Opening Client → Media marks them as seen for you, so next time only newer photos are new. The badges stay while you're on the page. Click Mark all as seen to clear them now.
  • Click Client uploads only to see just what the client sent, grouped by upload: "Uploaded Oct 6 · 12 photos · via upload link".
  • When a client uploads, your dashboard's Needs your attention shows New client photos, you get a Client upload notification in the bell, and a "… has uploaded new images" email at your Profile's contact email (at most one of each per client a day). The email's View Media Library button opens Client → Media showing just that upload and anything after it. Click Show all media to see everything.

"New" is per person: a teammate opening the tab doesn't clear your badges. Before you've opened a client's media for the first time, photos the client sent in the last 30 days count as new.

Working with the photos

The gallery groups photos by where they came from (Business Logo, Owner Photo, Team Photos, Location Photos, Service Images, Additional Images, Client Uploads) and by your folders.

  • View full size: click a photo to open it large. Use the arrow keys or the arrows to go through the rest, and Esc to close.
  • Download image: the download button on a photo, or in the full-size view.
  • Remove image: the red button on a photo. Confirm "Are you sure you want to remove this image?".
  • Select: pick photos (or Select All in one group), then:
    • Move them to a folder, or back to Client Uploads.
    • Delete (N) to remove them all.
    • Send to Site (N) to add them to a Mount Olympus site's media library, converted to WebP. Pick the site if the client has more than one. Each photo takes its name and alt text with it. Photos already sent are skipped, so if a send stops partway, send the same selection again to finish it.
  • Delete Folder: on a folder's header. Confirm "Are you sure you want to delete "…" and its N images?". The folder and the photos in it are removed from the client's media.

Images you add in the Client → Details form also appear here.

Uploads from the client portal

If the client has a portal login, you can also give them a Media tab in the portal (Client → Settings → Dashboard settings → Portal tabs → Media tab). They upload the same way and can make their own folders. Their photos arrive here marked Client portal, with the same New badges, upload groups ("via client portal"), dashboard item, email and bell notification. See what the client portal shows for what clients can move and delete.

Folders your client makes in the portal show up in your Media Gallery like your own.

Stopping or replacing the link

  • Switch the link off to stop uploads. Switch it on again to reuse the same link.
  • Click Generate new link (the refresh button) if the link was shared with the wrong person. Confirm "Are you sure? This will invalidate the current upload link." The old link stops working.

Examples

  • Before and after job photos: make folders "Before" and "After", send the link, and the client sorts their own photos as they upload.
  • A new website build: ask the owner for 30 photos of the shop and team. Select the best ones and Send to Site so they're in the editor's media library, ready to drop in.
  • Seasonal refresh: each spring, filter Client uploads only to see just this year's photos.

Limits and what it can't do

  • Photos: PNG, JPEG, GIF, WebP, TIFF and HEIC, up to 10 MB each.
  • Up to 1,000 photos per client in total. Client → Media shows "N of 1000 photos uploaded by client".
  • Up to 50 photos at a time on the upload page; they can add more once a batch finishes.
  • Videos have their own limits; see How clients upload videos.
  • Your client can't see, delete or rename anything through the upload link. It's for sending only.
  • Folders can't be renamed on Client → Media. Make a new folder, move the photos, and delete the old one.
  • Send to Site needs a Mount Olympus site for the client.
  • If you've set up a client domain on Growth or Agency, the link uses your own domain.

Who can use it

  • Anyone on your team with the Clients tool can manage Client → Media and the link.
  • Your client needs only the link, no login.
  • Ask Zeus "what's the upload link for Smith Roofing?" and he'll give it to you.

Troubleshooting

  • "This upload link is not currently active": the link is switched off. Switch it on in Client → Media.
  • "Invalid or expired upload link": you made a new link, so the old one stopped working. Send the current one.
  • "Maximum of 1000 images reached": the client has used all their photo slots. Delete photos you don't need on Client → Media.
  • "No valid images selected. Please use PNG, JPEG, GIF, WebP, TIFF, or HEIC files under 10MB.": the files are the wrong type (a PDF, for example) or too big.
  • "You can upload up to 50 images at a time …": only the first 50 go now. Upload the rest after.
  • "Selected folder does not exist": you deleted that folder while the client had the page open. Ask them to reload the page.
  • Photos uploaded but don't show: they may be in a folder. Click Client uploads only, or use Newest first.
  • Send to Site is grayed out: the client has no Mount Olympus site yet.
