How to use the site media library

Manage media from CMS → Media Manager (Client media and This site tabs on client sites, the site library on templates), upload images, organize them in folders, add alt text, edit images, pick client photos and add free Pixabay photos.

Updated October 15, 2026

Each site has one shared media library. Everyone working on the site sees the same images, including images Zeus made for it. You reach it whenever you choose an image: from an Image widget's Manage Image, a gallery, a background, or any other image field.

Media Manager (CMS panel)

Open CMS in the left rail and click Media Manager (first in the list). It opens the whole media library inside the panel.

On a site that belongs to a client it has two tabs: Client media (opens first) and This site.

Client media is the client's media, the same library as Client → Media and the Client media section of the image window:

  • Every folder: yours, the ones the client made in their portal, the service folders, and Imported from {old website} (the images of an imported site, see below). Newest first, grouped by day, with when each photo arrived and where from (Upload link, Client portal, Onboarding, Agency, Zeus or Imported). Photos the client sent since you last opened Client → Media have a New badge.
  • Upload: drag photos onto the panel or click Upload (several at once, PNG, JPG, GIF, WebP, TIFF or HEIC, up to 10 MB each). They go straight into the client's media (into the folder you have open, if any) and show up in their Media tab and the image window right away. Your uploads are marked Agency and don't alert anyone. A client person's uploads are marked Client portal and, like uploads from the portal, send your agency's contact email a "has uploaded new images" email (at most one a day per client).
  • Folders: click a folder to filter, New folder, Rename folder and Delete folder. Deleting a folder keeps its photos: they move to Not in a folder.
  • Search media by name, alt text or folder.
  • Videos: the client's videos are listed under the photos, in the same folders. Drop videos in with your photos (MP4, MOV, M4V or WebM) and they go to the Upload videos box. Click a video to change its Name, Description or Folder, or Delete it. See How to use video on a site.
  • Click a photo to open it: change its name, Save alt text, move it to another folder, Copy URL or Delete it. Select lets you move or delete several at once. Deleting removes a photo from the client's media; pages already using it keep showing it.
  • A photo's name and alt text follow it everywhere: the client's Media tab (name and alt text), their portal (name), the image window's Client media and this site's Library. When you put the photo on a page (from the image window, Use on this site, Send to Site, Create with Zeus or Fill a template with Zeus), the image gets that alt text. A copy that already has its own alt text in the site's library keeps it.
  • Changing a photo's alt text later doesn't change pages that already use it. If some do, the photo shows Update alt on N places. Click it to update them all (header, footer and menu included). Republish to put it live.
  • On this site marks photos that already have a copy in this site's library, and imported images that are this site's own files. Use on this site copies a photo into the site's library so every image picker can use it. Using it again never makes a second copy, and an imported image of this site is used as it is (no copy). Uploads don't go into the site's library until you use them.

This site is the site's own library, the one every image picker's Library shows: imported images, Zeus images, photos added with Use on this site, free photos and uploads made from image pickers. It has the same tools as on a site with no client (below): Upload (drag or click), folders, file names, alt text, search, Edit image, select, move and delete. You can upload videos here too (MP4, WebM or OGG, up to 50 MB). They're listed under Videos and you pick them from any video picker's Library tab. Uploads here stay with this site and don't go into the client's media. Deleting removes a file from the library only; pages already using it keep showing it.

Imported images. When you import a client's existing website, every photo it copies is also listed in the client's media, in a folder named Imported from {domain} (for example "Imported from nataliamaganda.com"). They're the same files the site uses, not copies. Each one is marked Imported, On this site, named after its file and given the old site's alt text where the old site had one. They're never marked New and nobody is notified. Importing the same website again doesn't list them twice. SVG icons stay in the site's library only. Template imports don't add anything to client media.

On a site with no client (templates and system sites) it shows this site's library only (no tabs), with upload (drag or Upload), folders, file names, alt text, Edit image and delete. There's no client media there.

Who can change what is under Who can use it below.

The image window

  • Upload: click or drag images in, several at once if you like. JPG, PNG, GIF, WebP or SVG, each up to 10 MB. Upload several for one image spot and they all go into the library, then you pick the one to use; for galleries and sliders they're all added.
  • URL: paste the address of an image on the web.
  • Library: everything already in this site's library.
  • Client media: the client's own photos. Shown only when the site belongs to a client (not on templates). More below.
  • Free photos: search free stock photos from Pixabay.
  • Client media shows a N new badge on its tab when the client sent photos you haven't seen.
  • Edit current image: shown when the field already has an image.

Organize the library

In Library you can:

  • Search by name and sort (Newest first, Oldest first, Name A–Z or Name Z–A). In date order the files are grouped by day (Today, Yesterday, Oct 6).
  • Under each file: when it was added and by whom (Client, From client media, Agency, Zeus or Imported). Badges on the photo show Zeus, Pixabay or Edited copies. Click Client uploads to see only the client's photos: ones a client person uploaded in the editor and ones you sent from Client → Media.
  • Create a New folder, Rename folder or Delete folder, and filter by folder.
  • Open a file's info to see its dimensions, size and source. You can change its File name and Alt text (Save alt text), Copy URL, or Edit image.
  • Select all or tick several files, then Move to folder or Delete them together.

Deleting only removes a file from the library. Pages already using it keep showing it.

Pick a photo from the client's media

Client media shows the same photos as Client → Media: the photos in no folder and every folder, yours and the ones the client made in their portal. They're newest first and grouped by day. Under each photo it says when it arrived and where from (Upload link, Client portal, Onboarding, Agency, Zeus or Imported). Photos the client sent since you last opened their Media tab have a New badge.

  • Search by file or folder name, or pick a folder from the list.
  • Click a photo to use it. Just that photo is copied into this site's library (the same copy as Send to Site), then it goes where you opened the window from: the image, the background or the gallery. Nothing else is copied.
  • Picking the same photo again reuses the copy that's already in the library.

You need access to the client: a team member limited to some clients only sees this for their own clients' sites, and you need the Clients tool. Client people who can edit media on the site see it too, without the New badges.

Edit an image

Edit image opens the image editor: Crop, Rotate and flip (Rotate left, Rotate right, Flip horizontally, Flip vertically), and Adjust (Brightness, Contrast, Saturation, with Reset all). Save as new image saves a new copy in the library, marked as edited. The original stays as it is.

Free photos from Pixabay

Search (for example "plumber" or "roof"), pick a shape (Any shape, Landscape or Portrait), and click Add to site. Load more shows the next page of results. The photo is copied into this site's library, so it never depends on Pixabay's servers. The photographer's credit is kept with the file. Free photos cost nothing.

Examples

  • A landscaper's spring photos: the client uploads 40 photos from their phone through the portal. You open CMS → Media Manager, see the New badges, make a Spring 2026 folder, move them in, add alt text, and click Use on this site on the best six.
  • A dentist's team photo, too dark: pick it in the image window, click Edit current image, raise Brightness, then Save as new image. The original stays as it is.
  • A new template with no photos yet: open Free photos, search "modern kitchen", pick Landscape, and Add to site.
  • Fixing alt text after the fact: change a photo's alt text in Client media, then click Update alt on N places and republish.

Limits and what it can't do

  • Photos: up to 10 MB each. Client media takes PNG, JPG, GIF, WebP, TIFF or HEIC. Image pickers take JPG, PNG, GIF, WebP or SVG.
  • Up to 50 files in one upload. Move or delete up to 200 photos at a time.
  • A client's media holds up to 1,000 photos and 200 folders. Folder names can be up to 60 characters, file names 120, alt text 250.
  • A client can have up to 200 videos, each up to 2 GB. Videos uploaded to This site can be up to 50 MB (MP4, WebM or OGG).
  • Deleting a photo doesn't remove it from pages that already use it. Deleting a video does: pages using it stop playing it.
  • Edit image works only on images in the library. It always saves a new copy.
  • There's no client media on templates or system sites.

Who can use it

  • Agency team members with the Mount Olympus tool who can open the site. To see Client media you also need the Clients tool and access to that client (a member limited to some clients sees it only for their own).
  • Client people see the Media Manager with Editor, Widget content, Content Library, Blog or Popups. They can upload and make folders, but only rename or delete folders they made, only move, change or delete photos they sent, and they never see New badges.

Troubleshooting

  • "This client's media is full (1,000 photos).": delete photos you don't need, then upload again.
  • "N files were skipped (not a photo, over 10 MB, or more than 50 at once).": shrink the big photos, or upload in smaller batches.
  • "Choose photos (PNG, JPG, GIF, WebP, TIFF or HEIC, up to 10 MB each) or videos (MP4, MOV, M4V or WebM).": the file type isn't supported. Convert it and try again.
  • " is too large (max 10 MB)." or " isn't an image." in the image window: shrink or convert the file first.
  • "Only folders you created can be renamed" or "…deleted": a client person can't change folders your agency made.
  • "This folder has photos from your agency, so it can't be deleted": move the agency's photos out first, or ask the agency.
  • "You can only move photos you uploaded" / "You can only delete photos you uploaded": client people can't change the agency's photos.
  • "A folder with that name already exists": pick another name.
  • "Stock photos aren't available right now": the free photo search is down. Try again later, or upload your own.
  • "This image can't be edited here. Upload it to the library first, then edit the copy.": the image came from a web address. Upload it, then edit it.
  • "The edited image is too large (max 10 MB)": crop it smaller, then save again.
  • My upload vanished: uploads in Client media go to the client's media, not the site's library. Click Use on this site, or pick it from the image window's Client media tab.
  • "Renaming and alt text turn on after the media database update.": an update hasn't been applied to your account yet. Contact support.

Good to know

  • Photos and videos live in separate lists: image pickers show photos, video pickers show videos.
  • Good alt text helps SEO and accessibility. The Site Dashboard has an image alt text tool for the whole site (see Image alt text).
