Email campaigns

Send one email to many people (a saved list, tags, people you pick, or everyone) from your own sending domain. See who it reaches and who's left out, test it, then send now or schedule it, in batches.

A campaign sends one email to many people at once. Open Automations ▾ → Campaigns in the business app. The list shows every campaign with its status (Draft, Scheduled, Sending, Paused, Sent), who it goes to and how it's doing. New campaign makes a blank Email campaign, a Text campaign (see Text campaigns), or an Email from a saved email that starts with one of your saved emails.

Campaigns are always marketing emails: every one carries the unsubscribe link and your postal address at the bottom (added for you), and people who unsubscribed or are set to Do not email never get them.

Your own sending domain comes first

Every campaign goes out from the business's own address, like you@mail.yourbusiness.com, never a shared one, whatever the size of the list. It keeps your emails out of spam and your name trusted.

Until the domain is verified you can write and save the campaign, but Send test, Schedule and Send stay off. The campaign shows the steps right there:

  1. Add your domain: a subdomain just for email, like mail.yourbusiness.com. Gmail or Outlook addresses can't be used.
  2. Add the DNS records it shows wherever the domain is managed, or press Email these to whoever manages your domain to send them the records.
  3. Click Verify. It usually takes minutes, sometimes up to 48 hours ("Checking your domain"). We keep checking and let you know.
  4. Pick it as the sender: add an address on it (Settings → Email → Sending addresses) and choose it in the campaign's Settings step.

Set up sending domain opens Settings → Email. People who can't change email settings see "Ask your owner or admin to set up a sending domain"; their draft is saved and ready.

The same rule covers marketing emails from automations: without a verified domain, an automation's Marketing email step is skipped ("Marketing emails need your own sending domain"), and publishing the automation shows that warning. Transactional emails (receipts, booking emails, reminders) work as before.

1. Audience: who gets it

Pick A saved list (a smart list worked out from its filters, or a Fixed list of people added by hand — see Saved views), Tags (anyone with any of them), People you pick, or Everyone. You can leave out people tagged with some tags, and also leave out up to 10 lists.

It reaches shows how many people get it, counted live as you change who gets it, and Who's left out lists everyone who won't, with why and See them:

  • Unsubscribed from your marketing emails;
  • No email address;
  • Bounced before (the address doesn't accept email);
  • Marked an email as spam, or on your do-not-email list;
  • Do not contact: someone on your team set Do not email;
  • Tagged to leave out / In a list you left out: left out by you;
  • Same email as another person: each inbox gets it once.

A smart list is worked out again when the campaign starts, so people who join it before then get it too. The summary on the right shows the sending cost for this many emails.

From Contacts, tick people and press Email these people in the bar at the bottom: a new campaign opens with them as its audience.

2. Content: the email

The same email builder as saved emails: a Subject, optional Preview text (shown after the subject in most inboxes), and text, image, button and divider blocks, with Insert a value for the person's name and other details. Start from a saved email copies one in (the campaign keeps its own copy). Agency people also have Write with Zeus: Zeus writes the email in the client's voice, with 3 subject lines to pick from (1 credit; see Zeus in the business app). The preview on the right is exactly what people get, filled in for a contact you choose, on desktop or phone.

3. Settings: from, when, batches

  • From: only addresses on your own verified domain are listed. Replies go to Conversations in the app, or your business email.
  • When: Send now or Schedule a date and time, either in the business's time zone (everyone at the same moment) or in each person's own time zone (9:00 AM where they are, from their own time zone, their address or their phone number; people with neither get it at the business's time). It shows how much of the list has a known time zone.
  • Send in batches: big lists go out a bit at a time so inboxes keep trusting your address. It's always on for lists over 500 people (500 people every 30 minutes unless you change it). Choose People per batch, Time between batches and Only send between (for example 8:00 AM – 6:00 PM); a batch that falls outside those hours waits for the next morning. It shows exactly when each batch goes ("3 batches: 500 at 9:00, 500 at 9:30 and 184 at 10:00 AM").

4. Review & send

Check it over lists who gets it, the subject, the sender, when, the batches, the links and the sending cost, each with Change.

Send yourself a test goes to up to 5 addresses, filled in with the first person on the list. Tests aren't counted in the results and cost nothing.

Send now or Schedule asks you to confirm ("Send to 1,184 people now?") with the batches and the cost. An email can't be taken back once it's sent, but you can stop the batches that haven't gone yet.

While it sends

  • Pause stops the batches that haven't gone; Resume carries on, and the batches keep their spacing. Cancel the rest stops it for good. A scheduled campaign that hasn't started can go back to a draft.
  • It pauses by itself when:
    • your daily sending limit is reached: it carries on by itself the next day;
    • paid sending is stopped for now: it carries on once sending is back on;
    • your sending domain stops verifying: it carries on once the DNS records check out again;
    • too many emails bounced or were marked as spam and emails were paused for the business: clean the list, press Resume sending in Settings → Email, then Resume on the campaign.
  • Whoever sent or scheduled it is told when it finishes or pauses (Campaign finished or paused in My notifications).

Each person gets it exactly once, even if sending is retried. When it's done, open Results — see Campaign results.

What it costs

Campaign emails are paid like other emails from the business app (see Email usage and billing). The cost shows on the Audience step and before you confirm. Tests are free.

Who can do what

Owners and managers write, test, schedule and send campaigns. Staff see campaigns and their results.
