How to use the Clients list

Find, filter and open your clients, jump into their site, and delete clients you no longer work with — their websites go to Recently deleted, and what else is removed or kept.

Updated October 23, 2026

Client Management → Clients lists every client in your agency as a card. Use it to find a client, see who needs attention, open their page or their website, and remove clients you no longer work with.

How to find a client

  1. Go to Client Management → Clients.
  2. Type in Search clients.... It matches the business name or the domain, as you type.
  3. Click the X in the box, or Clear search, to see everyone again.

The count under the filters says how many you're looking at, like "Showing 4 of 37 clients". The search stays in the address bar, so refreshing the page or sharing the link keeps it.

Filter by health or by what needs attention

  • All / Healthy / Watch / Slipping: the same client health groups as the dashboard. Click one to show only those clients. All shows everyone.
  • When you click View all on a group in the dashboard's Needs your attention list (for example "New form submissions" or "Onboarding forms to review"), the Clients list opens filtered to just those clients. A chip names the filter, like "Clients with new form submissions". Click the X on the chip, or Show all next to the count, to clear it.
  • If nobody is in the filter, you'll see "No … right now" with a Show all clients button.

My Agency

The first card is always My Agency: your own agency, built in, so you never have to add yourself as a client. It has a My Agency badge and an Open button, and opens the normal client page with everything on it: analytics, Google Ads, Zeus, SEO tools, media, websites and content. Build your own website under it, link your own Google accounts, and pick it wherever you pick a client: it's listed first in every client list (new site, the content generator, SEO tools, Zeus chat and connected assistants over MCP).

It works like any client, except:

  • It can't be deleted (it has no bin, and Select all leaves it out).
  • It has no client portal: no portal invites or client sign-ins, and nothing is sent to yourself for approval. Client → Settings says so in place of the client-access settings.
  • In The Pantheon it never gets a business app of its own: your contacts, conversations and bookings are in your agency's own business, and its website dashboard shows there in the Business Hub app.
  • It doesn't count as "your first client" in Getting Started.

If you'd already added your agency as a client, that client became My Agency (matched by the same name, website or email domain as your agency), with everything on it kept. Fill in its details with Getting Started → Tell us about your agency.

What each card shows

  • The client's logo (or their first letter on their brand color), business name and domain.
  • A link to their Mount Olympus website. It opens the site in the editor. (draft) after the name means the site hasn't been published yet.
  • Client Details: opens the client's page on Client → Details. See The client page explained.
  • Edit Site: opens their Mount Olympus site in the editor in a new tab. A client with more than one site gets a list to pick from. A client with no site has Build a site instead, with the same choices as Websites → New site and Import, for this client.
  • The red bin (Delete client). Not on My Agency.
  • Enable free monthly scans: only on clients Zeus isn't scanning yet, and only if you can use Zeus. Sets up Zeus's free monthly scan and starts the first one. See How Zeus scans work.

At the top of the page, Refresh reloads the list and Add Client starts a new one. See How to add a client.

How to delete a client

Read the next section first: the client's own data is removed for good, but their websites can be brought back for 30 days.

  1. On the client's card, click the red bin. (Or open the client and click Delete at the top of their page.)
  2. A box titled Delete "Smith Roofing"? lists exactly what happens (the same list as the next section). Click Delete client, or Cancel.
  3. You'll see ""Smith Roofing" deleted." and, if they had websites, "2 websites moved to Websites → Recently deleted (restorable for 30 days)." The card disappears.

To delete several at once, click Select all (or tick cards one by one), then click Delete N selected. The box is titled Delete N clients?; click Delete N clients. If some couldn't be deleted, you see "N of M clients couldn't be deleted: …" and those cards stay.

What deleting a client does

Their websites go to Recently deleted. Every Mount Olympus website of the client moves to Websites → Recently deleted, the same as deleting a site on its own: it goes offline now, its preview address and domains stop working, and an owner or admin can restore it for 30 days. After 30 days it's removed for good. See How to restore a deleted site.

Removed for good right away:

  • The client's details, settings and branding.
  • Keywords, rank history, competitors and citations.
  • Reports, report history and the client portal (its sign-ins and access).
  • Zeus findings, history and drafts.
  • Google links for this client (Search Console, Analytics, Ads, Business Profile).
  • Social posts, press releases and approvals.
  • The client's media library list. Images already placed on their websites keep showing.
  • Webhooks, imports in progress and team members' access to this client.

Kept: map scans, Local SEO audits and Business Profile optimizations stay in History, no longer linked to the client.

Restoring one of their websites brings the client back with its saved details (name, address, contact details, branding). The data in the "removed" list doesn't come back. Or you can restore the site under another client instead.

If you just want a client out of the way, don't delete them: open the client and switch Status to Inactive on Client → Details. That hides them from the content generator's client lists and keeps everything.

Examples

  • Find a client by their web address: type "smithplumbing" and the Smith Plumbing card shows, even if the business name is "Smith & Sons".
  • Monday check-in: click Slipping to see which clients' results are dropping and open each one's Zeus tab.
  • Handing a client's site to a new owner: the business was sold. Duplicate the site to a new client record for the new owner, then delete the old client.
  • Deleted the wrong client: on Websites → Recently deleted, click Restore on one of their sites and keep "(bring this client back)" selected. The client and that site are back; restore their other sites the same way.
  • Pausing a client: a seasonal business stops for the winter. Set them to Inactive instead of deleting, so their site and history stay.

Limits and what it can't do

  • Starter includes up to 10 clients; Growth and Agency have no limit. My Agency doesn't count. On Starter the top of the page shows how many you've used, like "8 of 10 clients" (with Upgrade once you're at 10). Agencies already over the limit keep every client; they just can't add more.
  • A deleted client's own data (reports, keywords, Zeus history and the rest of the "removed" list) can't be brought back. Only their websites wait in Recently deleted, for 30 days.
  • You can't merge two clients. Duplicate the site to the client you're keeping, then delete the other one.
  • Search looks at the business name and domain only, not the phone, email or address.

Who can use it

  • Anyone on your team with the Clients tool.
  • A team member limited to some clients only sees the clients assigned to them. The heading then says "Showing your N assigned clients". An Owner or Admin assigns clients in Settings → Team Members.
  • Clients themselves never see this page.

Troubleshooting

  • "Starter includes up to 10 clients. Upgrade to Growth to add more.": you're at your plan's limit. Upgrade from Billing & credits, or delete a client you no longer need. Restoring a deleted client's site can still go to one of your existing clients.
  • "No clients yet": you haven't added any. Click Add Client, or send your onboarding form.
  • "No clients found" / "No clients match your search": check the spelling, or search the domain instead. Click Clear search.
  • I can't see a client my colleague can see: you're limited to your assigned clients ("Showing your N assigned clients"). Ask an Owner or Admin to assign it to you.
  • A filter is hiding clients: look for the chip next to the health buttons, or "· Show all" next to the count, and clear it. Also check the health buttons are on All.
  • A card shows Build a site instead of Edit Site: the client doesn't have a Mount Olympus site yet. Click Build a site to make one for them.
  • "Failed to delete client: …": the client wasn't deleted. Try again, or contact support with the message. Any of their websites already moved to Recently deleted can be restored there.
  • "The client wasn't deleted: a database update is needed first …": the client is still there. Its websites were moved to Recently deleted and can be restored. Contact support.
  • Restoring a site of a deleted client says "There's already a client called …": you've added a new client with the same name since. In the Restore box, pick that client from the list instead.
  • "Tool access required": your role doesn't include the Clients tool. Ask your Owner or Admin.
