A Class or event calendar is for bookings with places: a yoga class with 12 mats, a workshop, a tour, a tasting — or tables in a restaurant or venue. It uses the business's payments, emails, reminders, contacts and automations like every other calendar.
Make one
In the business app, Calendars → Calendar settings → New calendar → Class or event. Then Edit → Classes & tables and pick How people book:
- Classes and events — sessions with a number of places.
- Tables and parties — people pick a party size, a day and a time.
Classes and events
Add a class for each thing people book. A class has:
- its length, places per session and the most places in one booking (party size or tickets);
- instructors — team members who teach it. They see the roster and check people in, and they're never offered for appointments while they teach;
- where — at the business, an address, a room, or online with a meeting link (sent in the confirmation and reminders);
- when — Every week (days, times, and an optional first and last day) or On set dates. Weekly sessions are made ahead (90 days by default — change it under Make weekly sessions); days the whole business is closed are skipped;
- the price per place, or ticket types (adult, child, couple…). A ticket can take more than one place — a couple ticket takes 2;
- payment — pay in full, a deposit, save the card (charged after, and used for a no-show fee), or pay later. Card details only ever go into the payment form; they're never seen or stored by us;
- tax — the business's default tax rate, or another one you pick for the class. Coupons (Staff, services & setup → Coupons) work on class bookings too: people type the code when they book, and its limits (uses, once per customer, dates) apply. Coupons for particular services only don't apply to classes.
If the class is in a room you picked from your rooms, that room isn't offered for appointments while the class runs.
Change a class's times later and sessions nobody booked follow; booked sessions always stay.
Places, names and the waitlist: show or hide how many places are left; ask a name for each place (optional or required) so the roster has everyone's name; and switch the waitlist on.
The waitlist
When a session is full, people can join the waitlist — nothing is charged while they wait, and they get an email with a link to leave it. When a place frees up (a cancellation from anywhere, or a checkout that was never paid):
- with Move people up automatically on, the first person waiting who fits gets it. Free and pay-later places are booked straight away (the normal confirmation email). Paid places are held for them while they confirm and pay from their email — Time to confirm a paid place (12 hours by default). If they don't, it goes to the next person;
- with it off, you offer places from the roster (Offer a place or Offer the free places).
For paid classes, pick how the waitlist works under Paid classes:
- Hold the place while they pay — as above: the person moved up confirms and pays from their email within the time you set.
- Save the card and charge automatically — people save their card when they join, after ticking to agree to the exact wording ("…saves my card now and, if a place opens, charges $20.00 to it automatically…"). When a place opens they're booked and charged straight away and get the confirmation. If the charge fails (a declined card, or the bank wants them to confirm), they get the "confirm and pay" email instead.
The roster and check-in
Calendars → Classes & tables lists the sessions by day with places booked, Full and how many are waiting. Open one for its roster:
- Check in each person as they arrive, or mark a No-show. Tick Charge the no-show fee first to charge the business's no-show fee when everyone on a booking missed it (it uses the saved card).
- Take this person off one booking (the rest stay booked), or Move booking… to another session of the same class. Their share comes off the booking's total and what they paid for it is refunded to the card — switch Refund someone taken off a paid booking off (Places, names and the waitlist) to leave the booking as it was. A place paid with a pass gives its credit back.
- Book someone by hand (pay later, like a phone booking).
- Cancel session — every booking is canceled and refunded in full, and everyone booked or waiting is emailed with your reason.
Table bookings
Set the turn time (how long a table is kept for one party), start times every, the smallest and biggest party online, what to say to bigger groups, special requests, and an optional price or deposit per person with its payment.
Under Tables, add your areas (Main room, Patio…) and their tables with seats (and the smallest party for a big table). For big parties, Join tables (for example T4a + T4b as an 8-seat "Long table", from 5 people): a party too big for any one table gets the smallest free joined group, and every table in it is kept for them. An area can also take any seat, by number of people — a bar or a terrace. Times come from the calendar's own hours (Availability) or the business's hours. A party gets the smallest free table that fits. Calendars → Classes & tables shows the day's tables with the party, table and requests; Seat people, mark No-show, Cancel or Book a table by hand.
Class packs and passes
Under Class packs and passes, sell packs of credits — one credit is one place — for example a 10-class pass for $150, valid for 90 days, for every class or only some. When booking, people can buy a pass (its credits pay for that booking's places too) or tick I have a pass to use their credits (found by their email) — a booking paid fully with credits needs no card. Calendars → Classes & tables → Passes shows who holds a pass and how many credits are left; Give a pass adds one sold at the desk or given as a gift (no charge is made there). Canceling a booking gives its credits back; canceling the booking a pass was bought with cancels that pass.
Two people, one last place
When two people book the last place, the last table or the last pass credit at the same moment, only one gets it; the other is told straight away (and offered the waitlist for a class). A checkout holds its places while the person pays, and frees them if the hold runs out.
The customer's link
Emails use class and table wording ("Your class is booked", "Your table is reserved", reminders, changes and cancellations). Every email has Manage your booking. Following the calendar's Reschedule & cancel rules, the customer can move to another session of the same class (or another time and party size for a table) and cancel — after the free cancellation time the fee shows before they confirm. A place offered from the waitlist is confirmed (and paid) from the same link.
Booking page, widget and embed
Each calendar has its own page and embed code (Edit → Booking page). On a Mount Olympus site, add the Booking widget and pick the calendar under Calendar.
Automations, notifications and your assistant
New automation triggers: Booked a class or table, Joined a class waitlist, Moved up from the waitlist, Class or table booking canceled, Attended a class and Missed a class (no-show) — on top of the usual booking triggers. The same six events can be sent to your own systems as outgoing webhooks (Settings → Webhooks). Instructors (or the owners and managers when a class has none) get a notification for new bookings, cancellations and people joining or moving up the waitlist. Reminders go out like any booking's, by email and by text when texting reminders are on.
Your connected assistant (over MCP) can list sessions with places left, read a roster and book places or a table, with your OK first — see Things you can do with MCP.
