Team members are your own staff. You invite them by email, they choose their own password, then they sign in with their own email and work on your clients: every client, or only the ones you assign them. Client people are separate: you invite them from a client's Client → Settings, and they never count as team members.
What your teammate sees when the invite arrives is in Accept a team invite.
Roles
- Owner: the person who created the agency. Can do everything, including managing Admins. The Owner's role can't be changed and the Owner can't be removed.
- Admin: can do everything in ContentForge, including billing, settings and managing Members. Admins always have every tool and see every client.
- Member: uses the tools you give them, on the clients you give them (all clients unless you choose some).
Owners and Admins see these Settings pages; Members don't: Team Members, Google Connection, ContentForge Writing, Blog Writing Rules, Olympus, Branding, Integrations and Notifications. Everyone sees Profile, API & MCP and Billing & credits (a Member's Billing page is read-only: they can't buy credits or change the plan).
How to invite a team member
- Go to Settings → Team Members and click Invite Team Member.
- Enter their Name and Email.
- Choose a Role: Member or Admin. Only the Owner sees the Admin choice.
- For a Member, under Clients, leave All clients or pick the clients they work on (see below). Admins always see every client.
- Click Send invite.
They get an email, " invited you to ContentForge", with an Accept invite button. The link works for 7 days. They click it, choose their own password and they're signed in. You never see or send their password.
The team list
Each person is a row with these columns:
- Email: their sign-in email.
- Status: Invited (the email went out, not accepted yet; hover to see when the link runs out), Invite expired (the 7 days ran out) or Active (they've chosen a password).
- Role: a dropdown to switch between Member and Admin. The Owner shows as a plain Owner badge.
- Clients: All clients, or how many they have (for example 3 clients). Click it on a Member's row to change it.
- Added: the date you invited them.
- Actions: Tools, Resend invite (Invited or expired only), the key icon (Send password reset link, Active only) and the bin icon (Cancel invite or Remove member).
Change someone's role
Pick Member or Admin in the Role dropdown on their row. It saves straight away.
- Making a Member an Admin removes their client limit and gives them every tool.
- Only the Owner can make someone an Admin or change an Admin back to Member.
Choose which clients a Member sees
- Click the Clients badge on a Member's row (or use the Clients field when you invite them).
- Search for a client and tick it. Select all ticks every client shown (it reads Select all shown while you're searching). All clients gives them every client, including ones you add later.
- Click Save.
A Member with chosen clients only sees those clients, everywhere: the Clients list (it says "Showing your 3 assigned clients"), the client pages, the dashboard and its filters, Websites and the Mount Olympus editor, media, form responses, Google Ads, Business Profile, keywords and Zeus, notifications in the bell (plus the ones about no client, like billing and leads), reports and history, Zeus chat, the weekly Zeus digest, and their AI assistant through MCP. Opening any other client's page or link shows "not found". Sites that don't belong to any client stay visible.
On each tool's Past tab (Past content, Past images, Past runs, Past audits, Past scans, Past analyses), a limited Member sees their clients' runs plus runs for businesses that aren't one of your clients (prospects). Keyword Forge searches aren't tied to a client, so everyone with Keyword Forge sees them all.
When a limited Member adds a new client, it's assigned to them automatically.
Choose a Member's tools
Click Tools on a Member's row. The heading reads "Plan tools — on by default, turn one off to revoke just that tool". Click a tool to switch it off (gray with a cross) or back on (green with a tick). It saves straight away.
- Mount Olympus: Websites and Custom Assets (Templates and the Widget Builder), the editor, domains and site settings.
- Zeus: everything Zeus does for that person: the Zeus chat bubble, Zeus in the editor (the Zeus button), Summon Zeus on a client's Zeus tab, the Zeus Ads Review (Run review now, Zeus's fixes and Apply) and Build a campaign with Zeus, the GBP Optimizer, Zeus's profile check and drafting with Zeus on the Business Profile, Keyword Forge's Unleash Zeus on This URL and Ask Zeus for Ideas, Zeus findings on the dashboard, the weekly Zeus digest email, and Zeus through their AI assistant (MCP). With it off, those buttons are grayed out with "Zeus is switched off for your account. Ask your agency owner." They can still read the client's Zeus tab.
- Content Generator: Content → Content Generator and its past content.
- Image Generation: Content → Image Generation and its past images.
- Client Management, with its own switches underneath: Clients (the client pages, a client's people and portal settings, a client's webhooks, Press and Social), Prospects, Client Onboarding and Prospect Tool.
- SEO Suite, with its own switches underneath: Local SEO Audit, Local Map Ranking, Backlink Analysis, GBP Optimization, Keyword Forge, Competitor Analysis and Schema Generator.
Turning a whole group off (for example SEO Suite) turns off everything under it; the switches underneath go gray until you turn the group back on. A tool's Past tab goes with the tool. Switched-off tools disappear from that person's sidebar, and their API keys can't use them either.
Resend or cancel an invite
- Resend invite emails a fresh 7-day link. The link in the earlier email stops working.
- To cancel, click the bin icon (Cancel invite). You'll see Remove?: click Yes. The link stops working.
Send a password reset link
For an Active teammate, click the key icon. They get "Reset your ContentForge password" with a Choose a new password button. You'll see "Reset link sent to …". The link works for 1 hour and only once. They choose the new password; you never set or see it. They can also use Forgot password? on the sign-in page themselves.
Whenever a team member's password changes, they get an email saying so. See Account security emails.
Remove a team member
Click the bin icon (Remove member), then Yes next to Remove?. They lose access straight away. If that email has no other ContentForge access (another agency or a client portal), their login is deleted too.
Examples
- A part-time writer: invite them as a Member, pick just the three clients they write for, and switch off Mount Olympus and SEO Suite so they only see Content and Clients.
- Your operations manager: invite them as an Admin so they can handle billing, settings and the rest of the team.
- A new hire who missed the email: their row shows Invite expired. Click Resend invite.
- An SEO contractor: a Member with SEO Suite on and Content Generator, Image Generation and Mount Olympus off.
Limits and what it can't do
- Team members are free and there's no seat limit on Starter, Growth and Agency, including their 14-day card trials.
- Invitation trials (no card) can't add team members. You'll see "Team members are available once you subscribe to a plan" and a View plans button.
- Invite links last 7 days. Password reset links last 1 hour and work once.
- You can send each person up to 3 invite emails an hour, and up to 3 reset links an hour.
- An email that already has a ContentForge sign-in (another agency, or one of your client portal logins) can't be invited as a new team member.
- Admins can manage Members but not other Admins or the Owner. Only the Owner manages Admins.
- You can't transfer ownership of the agency or delete it yourself. Open a ticket from Help and we'll do it for you.
- You can't change your own client access, or send yourself a reset link from this page (use Forgot password? or Settings → Profile).
Who can use it
The Owner and Admins. Members don't see Team Members in Settings; opening the page shows "You don't have permission to manage team members."
Troubleshooting
- "Confirm your email to invite team members. Use the link we sent you, or resend it from Settings → Profile.": the agency owner hasn't confirmed their sign-up email yet. Click Confirm my email in "Confirm your ContentForge email", or click Resend confirmation link (shown on this page and on Settings → Profile).
- "This email already has a ContentForge sign-in, so it can't be invited as a new team member.": the address is already used by another agency or a client portal login. Use a different email for them.
- "Too many invite emails sent — try again in …" or "Too many password reset emails sent — try again in …": you've sent that person 3 in the last hour. Wait the time shown.
- "Only the agency owner can invite an admin", "Only the agency owner can change an admin's role", "Only the agency owner can remove an admin", "Only the agency owner can resend an admin's invite" or "Only the agency owner can send an admin a reset link": you're an Admin, and only the Owner manages Admins.
- "This person hasn't accepted their invite yet — use Resend invite": reset links are for Active people. Resend the invite instead.
- "This person has already accepted their invite": they're Active already. If they forgot their password, send a reset link.
- "Owners and admins always see every client": you can only limit clients for a Member.
- "The invite link was renewed but the email didn't send — try again in a moment." or "The reset link couldn't be sent — try again in a moment.": our email didn't go out. Try again in a minute.
- A teammate sees "Tool access required": that tool is switched off for them. Turn it on under Tools on their row.
- A teammate says a client is missing: they're limited to chosen clients. Click their Clients badge and tick it.
- The invite never arrived: ask them to check spam for " invited you to ContentForge", then click Resend invite. They can also use Forgot password? on the sign-in page with the invited email; choosing a password that way accepts the invite too.
