Coming soon: the Business Hub app isn't in the App Store or Google Play yet. This is how your clients' dashboard will work in it.
The people you invite to a client's portal can also use the Business Hub app on their iPhone or Android phone. They sign in with the same email and password as their portal. They see exactly what their portal shows them: your dashboard settings for that client, their own permissions, and the Media, approvals and reviews switches all apply. The app has no separate list of what they can see.
What your clients see
People who only have the portal (no business app of their own) get a dashboard with five tabs:
- Today: this period's key numbers, anything waiting for their approval, and the latest work you did.
- Approvals: what you sent for them to check (Business Profile posts, review replies, profile changes, photos, blog posts, social posts, press releases). They open each one and Approve, Decline or Ask for edits (edits need a note). For blog posts and press releases, See the full post shows the whole post in the app: headings, text, lists and pictures, in the app's own readable colors. They can't approve from the lock screen, so they always see what they're approving. Without a connection, the app asks them to try again later. It never saves an answer to send afterwards.
- Work done: the last 90 days of work, grouped by month, in the display you chose for the portal.
- Stats: their key numbers for This month or Last month (your reporting period, the same one as the monthly report and the portal's "Last period"), then Website traffic, Google search, Google Business Profile and Map Pack rankings, each with 7 days / 28 days / 90 days / Last month, compared with the period before, and simple charts. The numbers are the same ones the portal shows. Only the sections you switched on for the client appear.
- More: Media, Google reviews and Form responses (all built into the app, see below), Bookings (only when their bookings are run in the portal, see Manage bookings), all the charts and details, Google Ads, backlinks, citations and the portal's AI visibility (called Chat search visibility in the app) (each of these opens the real portal page inside the app, already signed in), their websites, your contact card, and notification choices.
Media: photos and videos from the phone
Media is part of the app itself, so your clients can add photos without leaving it. It shows when the client's Media tab is switched on (Client Access → Dashboard settings → Portal tabs) and the person has the Media permission, the same as the portal.
- They see their media library the way the portal shows it: their folders (a folder named after one of their services says Service), their photos newest first by day, and their videos. Pull down to refresh. Tapping a photo opens it full screen with its name, date, folder and size.
- Choose photos & videos picks several at once from the phone, and Take a photo uses the camera. They go into the folder they're looking at, or they tap Upload to to choose another one (their services are listed by name) or make a new folder.
- Photos are made smaller on the phone first, the same way the portal does it on a computer (WebP, the long side up to 2,400 pixels, smaller again until it fits under 10 MB), so a big phone photo is never refused for its size. GIFs and videos are sent as they are. Videos (MP4, MOV, M4V or WebM) can be up to 2 GB, when video uploads are set up. A file that's too big says so, and it isn't sent.
- Each file shows its progress. Uploads keep going if they leave the screen or switch apps, and wait for a connection if they lose signal. A file that didn't go has Retry and Remove.
- A video opens with its picture and plays in the app when they tap it, with the phone's own controls and full screen.
- They can move their photos to another folder, rename or delete the folders they made (a folder they can't change says why), and rename or move their videos. These follow the portal's rules: the photos and folders you added stay as you left them.
- They can delete photos and videos they sent. Photos you added stay, the same as the portal. Deleting removes it from their library, and a page already using it keeps showing it.
- What they upload is marked Uploaded here in their library, and you get the same "[Client] has uploaded new images" notification as for the portal.
- The first time they take a photo, the phone asks to allow the camera. Choosing from their photos doesn't need access to their whole library.
For your own agency's website, uploads are added by your agency (no notification), and team members who can't manage that client's media can look but not change anything.
Edit your website never opens in the app, because the editor is built for a computer. People with editing permissions see Edit your website on a computer with the link to copy or share and Email me the link.
A client person who is also in their business app sees their business as usual, plus a Your website card on Today and More → Website.
Google reviews and form responses
Google reviews shows when the client's Business Profile is linked and you show Google reviews in their portal (the same switch as the portal). They see Google's average and total, filter by All, Not answered or Answered, and open a review to read it in full. People with the Reply to reviews permission can reply, edit the reply or delete it, straight to Google; their reply is the client's own and you can see who wrote it, as in the portal. Without that permission the reviews are read only. Replies need a connection; the app never saves one to send later.
Form responses shows what visitors sent through their website's forms: a website and form picker, search, 20 at a time, newest first, and each response on its own screen with every answer. It's read only (deleting stays on the portal). Nothing from a form is kept on the phone.
Form responses only appear for people without the business app. People with the business app get their leads in its contacts and inbox, so the app leaves Form responses (and its notification) out for them.
Notifications
The app can notify them, in your branding:
- On to start with: something waiting for their approval, reminders 3 and 7 days later (the same days as the approvals email), one Work done summary a day, and Your monthly report is ready.
- Off until they turn them on: New form responses and New Google reviews.
Notifications only say what's new and where, for example "A blog post for Smith Plumbing is waiting for your approval". They never include the words of a form, a review or a post. Tapping one opens the right screen in the app: the approval, Work done, Stats on Last month for the monthly report, Form responses, or Google reviews. People change them in the app under More → Website notifications. The emails they get don't change.
Branding and sign-in
- On the sign-in screen the app shows your logo and colors once they type their email, and it uses your client domain when you have one. When the email belongs to more than one agency, it shows the plain Business Hub look.
- After sign-in the app uses your portal branding. "Powered by ContentForge" shows only where the portal shows it.
- Someone who was invited but hasn't set a password yet sees "Finish setting up from your invite email first", with Email it again.
- Two-step verification follows the same rules as the portal.
Switching it on or off
- For every client: Settings → Olympus → Client dashboard in the phone app (on to start with).
- For one client: open the client, go to Client → Settings (the Client Access tab) → Phone app, and choose Use default, On or Off.
When it's off, that client's people see "Your dashboard isn't available in the app. Use [your client domain] in your browser." Their web portal doesn't change, and their business app (if they have one) keeps working.
Your own agency's website
If your agency is also one of your clients (you build your own site here and link your own Google accounts), your team can see that client's dashboard inside your own business in the Business Hub app, the same way a client sees theirs. Nobody needs a portal sign-in for it.
- Open the client, go to Client → Settings (the Client Access tab) → Phone app, and switch on Show this client's website dashboard in our Business Hub app. Owners and admins can change it. You can switch it on for more than one client, for example two brands.
- Settings → Olympus lists the clients you've switched on and the ones that look like your own business (the same name, website or email domain as your agency). It only suggests them. Nothing shows in the app until you switch it on.
- In the app, signed in to your own business, you get the Your website card on Today and More → Website (approvals, work done, stats and every other section). With more than one, More → Website lets you pick which one shows.
- Your team sees everything on the dashboard. The client permissions and the client's Phone app switch are for the client's own people, so they don't limit you. Team members only see it for clients they're allowed to work on (Settings → Users).
- Approve approves the item for the client, the same as approving it yourself in the client's Approvals. There's no Ask for edits, because you change your own work. Take it back removes the request.
- The portal pages open inside the app the same way View as client shows them. Google reviews replies go out as your business (team members need the Clients tool for that client), and Form responses lists the website's responses.
- Notifications go to your team members who use the app, with the same choices and starting settings: approvals, reminders, one Work done summary a day, and one Your monthly report is ready when the report goes out.
Who's signed in
The Phone app card lists each person with "Signed in on the app: 2 phones (last seen …)". Sign out of the app signs that person out on every phone straight away, and their notifications stop. If the person also uses the app for another agency or account, you can't sign them out from here. Turn their access off instead, which closes their dashboard everywhere, including the app. Removing someone, or turning their access off, also stops the app and their notifications at once.
