Each client's portal is controlled in two layers. A layout gives you a sensible starting set of items. The Dashboard settings switches then fine-tune exactly what that client sees.
The four layouts
- Overview: at-a-glance numbers (search clicks and impressions, sessions, the traffic growth chart).
- SEO Detail: rankings and search visibility (position, click-through rate, search charts, search by device, top search terms and pages, Google Business Profile stats, map pack, citations, keyword rankings in the email, and Google reviews).
- Traffic & Conversions: sessions, conversions, traffic by channel, conversions by source and top cities.
- Complete View: everything, including Google Ads and Backlinks.
Every layout also includes the work completed list and count, the client's websites, your contact card, AI visibility and the fallback website visits. Three switches are off in every layout until you turn them on: Zeus summary at the top of the monthly email, Media tab and Accessibility score on their websites.
Steps
- Set your agency-wide default in Settings → Olympus under Default Dashboard Layout. This works on every plan. With no default set, clients see Complete View. Changes on that page save as you make them ("Settings saved").
- To change one client, open the client's Client → Settings tab. In Portal Settings, pick a Dashboard Layout, or leave it on Use Agency Default. This saves straight away.
- In the Dashboard settings card on the same tab, tick or untick individual items. They're grouped as Key numbers, Charts, Details, Local, Google Ads, Backlinks, Work & contact, Monthly email and Portal tabs.
- Click Save dashboard settings. You see "Dashboard settings saved." If you just switched on the Media tab, it also says how many people can now use it.
To go back to the layout's own set, click Reset to "…" layout defaults. You see "Reset to the layout defaults." The button is grayed out until you've saved your own switches.
Other portal settings
On the same tab under Portal Settings:
- Work Item Display: Title Only, Title + Description or Full Detail.
- Billing Cycle Day: the day of the month the reporting period resets (1 to 28). It saves when you click away from the box. Leave it empty, or click Reset to default, to use your agency default from Settings → Olympus (Default Billing Cycle Day, every plan). A number outside 1–28 is cleared back to the default.
These settings save as you change them. Only Dashboard settings has its own save button.
Good to know
- Hidden items are removed before the data leaves ContentForge, so clients can't find them by digging into the page. The monthly email follows the same switches.
- Portal tabs → Media tab gives the client a Media tab to upload photos and videos and make folders. It's off by default for every client and isn't part of any layout. When it's on, everyone on the client can use it unless you unticked Media for them, including people you add later. Switch it off and nobody sees it. See Media in the portal.
- Local → Google Business Profile stats shows calls, direction requests, website clicks and profile views from the client's linked Business Profile, each with its change, a chart by day and the dates covered. It sits right above Google Map Pack rankings on Site Stats, and the four numbers also go in the monthly email. It only shows while the Business Profile is linked (never public data). It's on in the SEO Detail and Complete View layouts, off in Overview and Traffic & Conversions. This period shows the last 28 days Google has. Google's numbers trail by about three days.
- Local → Google reviews shows the portal's Google reviews tab while the client's Business Profile is linked (never public data), and the reviews in the monthly email. It's on in the SEO Detail and Complete View layouts.
- The Keyword rankings and Zeus summary at the top of the monthly email switches only affect the monthly email. The Zeus summary is off by default for every client.
- A person still needs the right permission. For example, numbers need Site performance & stats. See client permissions.
- Work & contact → Accessibility score on their websites shows each Mount Olympus site's latest accessibility score (out of 100) on the portal's websites list. It's off by default. The score comes from the accessibility checker.
- For backlinks, you can also hide individual referring domains from the portal on the client's SEO → Links tab under Backlinks.
Examples
- A client who only cares about leads: pick Traffic & Conversions, then untick Ad spend so they see results without the budget.
- A local business owner: SEO Detail, plus tick Media tab so they can send you photos.
- A client you've just rebuilt a site for: tick Accessibility score on their websites to show off the score.
Who can use it
- The per-client settings need the Clients tool.
- The agency defaults on Settings → Olympus need an owner or admin.
Troubleshooting
- A client still sees something I switched off: check you clicked Save dashboard settings, then reload their portal. Use View as Client to check.
- Something I switched on doesn't show: the person may lack the permission (numbers need Site performance & stats), or there's no data yet (for example, no map scan or no backlink snapshot). Google Business Profile stats also needs the client's Business Profile linked on Client → Settings → Google Integrations, and Google to have numbers for the dates.
- "Billing cycle day must be 1–28.": pick a day from 1 to 28. Days 29–31 aren't allowed so every month has the day.
- "Only an agency owner or admin can change these settings.": ask an owner or admin to change the agency defaults.
- "Could not load dashboard settings": reload the page.
