How to manage your prospects

See every lead your prospect tool captured, newest first, track their status, open the report they saw and export the list as a CSV.

Updated October 15, 2026

When someone fills in the lead form on your prospect tool, they're saved as a prospect and you get an email. Go to Client Management → Prospects to see them.

What you'll see

Leads are listed newest first. The table has Lead, Contact, Site, Status and Received columns (Contact and Site hide on small screens). Each row shows the person's name and business, their email and phone, the site they analyzed with its score, a status, and how long ago they came in. New leads have a blue dot, and the page header shows how many are new. Only the fields you ask for in Lead Capture are filled in. A lead with no name shows its business name or email instead.

  • Use the All / New / Contacted / Won / Lost filters to see one status.
  • Use Search by name, email, phone, business or site… to find someone.
  • Click Export CSV to download the list for your CRM or email tool. The file has First Name, Last Name, Email, Phone, Business Name, Website, Score, Status, Date and Report columns. The button only shows once you have at least one lead.

Working a lead

Click a lead to open its details panel. It's also where Open the lead in the new-lead email takes you.

  • Change the Status as you follow up (New, Contacted, Won, Lost).
  • Use Email or Call to contact them.
  • Click Open the report they saw to see exactly what they saw: their score, issues and redesign previews.
  • The bottom of the panel shows whether the lead email was sent and when, or why it wasn't sent.
  • Delete lead asks Delete this lead for good? Click Delete to remove it, or Cancel.

Empty pages

  • "No prospects yet": you have no leads at all. Prospects only appear when Lead Capture is switched on in your Prospect Tool settings. Without it, people still get their full report but nothing is saved.
  • "No leads match.": you have leads, but none fit the status filter or search. Click All or clear the search box.

Examples

  • Morning follow-up: click New, call each lead, then set their status to Contacted.
  • Monthly sales review: click Won to see who signed up, and Lost to spot patterns in the scores.
  • Into your CRM: click Export CSV and import the file into your CRM or email tool.

Limits and what it can't do

  • Statuses are fixed: New, Contacted, Won and Lost. You can't add your own or add notes.
  • A deleted lead can't be brought back.
  • The prospect tool doesn't create a client for you. You add the client yourself.
  • Leads can't be added by hand. They only come from the prospect tool's lead form.

Credits

Prospects are free. Nothing on this page uses credits.

Who can use it

Agency owners and admins, plus team members who have the Prospects tool (under Client Management on Team Members). Clients never see your prospects.

Troubleshooting

  • A lead says "Lead email not sent: …": the reason follows. "No recipient" means there's no address to send to. Add one under Send lead emails to in Prospect Tool settings.
  • "No lead email recorded for this lead.": no email result was saved for this lead. The lead itself is fine.
  • "Failed to update the lead": the status change didn't save, and the lead goes back to its old status. Refresh and try again.
  • "Failed to delete the lead": the lead wasn't deleted. Refresh and try again.
  • "Failed to load prospects" or "Failed to fetch prospect leads": the list couldn't load. Refresh the page.
  • "Tool access required" or the page won't load: your owner or an admin has switched off the Prospects tool for you.
  • The phone or name is blank: that field wasn't in your Lead Capture form, or the visitor left it empty.

Turning a prospect into a client

When a prospect signs up with you, add them as a client from Clients → Add Client, or send them your onboarding form so they fill in their own details.
