Rental bookings — the booking page, pick-up, return and deposits

How customers book rentals (several items in one booking, pick-up or delivery, the deposit), Manage your booking, and running rentals — picked up, returned, damaged, Complete & charge, reminders and automations.

What customers see

A Rental calendar's booking page (Booking page tab: its link and embed code), the embed, and the Mount Olympus Booking widget with the calendar picked all show the same steps:

  1. Choose: the listings as cards or a list, by category, with their "from" price and deposit. Book now opens one: which variant, how many, the dates (or a package) and add-ons. The price and how many are free are checked as they change ("Only 1 Kayak is free for those dates"). Add to booking puts it in the booking — several items, each with its own dates, are paid for once.
  2. Details: How you'll get it (a pick-up place, or delivery with the address), name, email, phone, questions and notes.
  3. Review & pay: every line from the server, tax, the total, and the security deposit on its own line ("not part of the total"). Then the rental agreement, any agreements, and the exact payment agreement to tick, and the payment form ("We're holding these items for you while you finish").
  4. You're booked, with Manage your booking.

While checkout is open the items are held for the customer; of two people going for the last unit, the first one gets it.

Manage your booking

Every rental email has Manage your booking. It shows the items, dates, where to collect it (or the delivery address), the deposit, and — as the calendar's Reschedule & cancel rules allow:

  • Cancel the booking — always the whole booking. It shows whether canceling is free or what fee applies, and can ask for a reason. When the calendar needs your OK, the request waits in Waiting for approval.
  • Change the dates — everything moves together and keeps the same length; the price is worked out again. Rentals start from "cancel only": allow rescheduling on the calendar to offer it. When moves need your OK, it's Ask to move my booking: the new dates are checked and priced, and the request waits in Waiting for approval with the new total. Approving checks the stock and turnaround again (if the dates were taken meanwhile, it says so and nothing changes); declining emails the customer.

Once anything has been picked up, it can't be changed online.

Running rentals

  • Today (the calendar's Rentals tab): what's Overdue, Due back in the next 24 hours, Out now and Going out in the next 7 days.
  • The booking: each item with its status and the next step — Picked up, Returned, Returned damaged (say what's damaged) or Cancel item. The booking shows Reserved, Out, Partly returned or Returned, and Overdue when something is late.
  • The deposit: Hold it now, Release, or Keep some for damage (an amount up to the deposit and what it's for; taken from the hold, or charged to the card on file). A clean return releases the hold by itself (when switched on).
  • Complete & charge (when everything is back): the final charge for the rental, with an optional extra line such as a late return fee. Paid offline, a booking is completed as soon as everything is back.
  • Change the dates from the booking (staff can move it outside opening hours, never past the stock or the turnaround). Bookings by hand and Test a rental use the same prices and stock checks.

Reminders, automations and AI apps

  • Emails: the confirmation and pick-up reminder are the business's booking emails, in rental words with the items, dates, where and the deposit. On top, the return reminder and an overdue notice. Also send reminders by text sends the pick-up, return and overdue reminders by text to customers who allow texts.
  • Automations: the triggers Rental booked, Rental picked up, Rental due back, Rental overdue and Rental returned, each filtered by listing and website. Conditions can check the booking's listings and its rental state. An overdue rental also rings the bell for the owners and managers.
  • Webhooks to other apps: besides the usual booking events, Rental picked up, Rental returned, Rental returned damaged, Rental overdue, Rental deposit held, Rental deposit released and Rental deposit kept (Settings → Webhooks).
  • AI apps (over MCP): list_rentals (listings, and what's out or overdue), check_rental (is it free, the exact price) and book_rental, which only books after the person says yes (confirm: true). Bookings made this way are pay-later bookings by hand.
