Settings → Invoices & quotes in the business app is where you decide how your invoices and estimates look. One look is used everywhere your customer sees them: the PDF, the email, the online pay page (on a computer and on a phone) and the printed copy — so they always match.
Until you save a look, invoices keep the standard look (Classic, with your brand color on the Pay button and lines).
Layouts
- Classic — your logo and business details top left, the invoice details top right.
- Centered — your logo and name centered at the top, your business details in a strip along the bottom.
- Sidebar — a colored band down the left with your logo, your details, who it's for and the dates. On a phone the band sits at the top.
- Minimal — just your business name at the top, your details in the footer, lots of white space.
- Bold — a full-width colored band across the top with your logo, the title and the amount due.
Colors and font
- Accent color — the Pay button, lines and headings. It starts as your brand color.
- Band color (Sidebar and Bold) — the same as the accent unless you pick another.
- Text on the band — Automatic picks white or near-black, whichever reads on the band, so it's always readable. If you pick a color yourself, it's used exactly as you picked it.
- Text color — near-black unless you pick one.
- Font — Modern (sans-serif), Classic (serif), Editorial (serif headings, sans-serif text) or Ledger (sans-serif with typewriter numbers). They're standard fonts, so they show the same in every email app and on every phone.
Logo
Your logo shows exactly as you uploaded it. White paper and light bands use your regular logo; a dark band uses your logo for dark backgrounds. If there's no logo for that background, your business name shows instead — a logo is never put on a background it wasn't made for. Pick Small, Medium or Large, and whether to show the logo, the logo and your business name, or just the name.
What shows
Switch each part on or off:
- Your business: name, logo, address, phone, email, website, tax / registration number (type the label — for example "Tax ID", "ABN" or "VAT" — and the number).
- Your customer: email, phone and address. On the online pay page only the customer's name (and the billing address they typed) shows, so a forwarded link never shows their contact details.
- The document: due date, payment terms, item descriptions, the quantity and unit price columns, the tax line (the total still includes the tax), notes, the footer message and page numbers (PDF).
- Paying: the Pay online button and a QR code to pay (both only on unpaid invoices that have been sent).
Words
- The title: Invoice, Tax invoice or Bill — and Estimate, Quote or Proposal for estimates.
- A thank-you line near the bottom.
- The default notes, payment terms and footer message filled in on each new invoice (you can still change them per invoice). These are the same defaults as in Settings → Payments.
The preview
The preview beside the settings updates as you change things. Switch between Invoice and Estimate, and between Desktop / PDF and Phone pay page. Preview with shows one of your real invoices instead of the sample. Download sample PDF makes the PDF in the look you're editing, before you save.
Press Save to use the look. It applies to every invoice from then on — including ones already sent, the next time the customer opens the link or the PDF. Back to the standard look returns to Classic.
The email
Invoice, reminder and receipt emails show a short summary in the same colors, font and logo (the header uses your band on Sidebar and Bold), followed by the button to the pay page. The full invoice is on the pay page and in the PDF (attached when that's on in Settings → Payments).
In the phone app
On an invoice in the phone app, Customer view shows the pay page exactly as your customer sees it, inside the app. Looking at it there doesn't count as the customer opening it.
