How to invite people from a client's business

Give each person at a client's business their own portal login, then resend invites, send password resets, turn access off or remove people.

Updated October 15, 2026

Every person at a client's business gets their own login and their own permissions. For example, the owner can edit the website while the office manager only sees form responses. You can invite as many people per client as you like.

Steps

  1. Open the client and go to Client → Settings.
  2. In the People card, click Invite person.
  3. Enter their Name and Email.
  4. Under Assigned Sites, choose which of the client's websites they can reach. See client permissions for the options.
  5. Tick their Permissions. The boxes start with your default set.
  6. Click Send invite.

You see "Invite sent to …". They get an email from your agency with a Create your password button. The link works for 7 days. If the email already has an account, they enter that account's password to accept instead. What the client sees from there is in signing in to the client portal.

If the person is added but the email fails, you see "Added …, but the invite email didn't send — use Resend invite." They're on the list; click Resend invite to try again.

If you gave them an editing permission, the email also tells them they can edit their website from the portal with the Edit your website button, and what they can change, for example "pages, sections, design and site settings and blog posts" for Editor, or "the text and images on your pages" for Widget content. People with no editing permission don't get that line.

Once they sign in, people who can edit find Edit your website at the top of every portal page. See what the client portal shows.

Managing people

Each person in the list shows a status (Invited, Invite expired, Active or Access off), their sites, how many permissions they have, and when they were invited or last signed in. Never signed in means they accepted the invite but haven't signed in since. The actions are:

  • Edit access: change their name, sites and permissions. Changes apply the next time they load a page.
  • Resend invite: sends a new invite link that works for another 7 days (only while they're still invited). The old link stops working.
  • Send password reset: shown for active people. Emails a link to set a new password. The link works for 1 hour. Clients can also reset it themselves: Forgot your password? on the portal sign-in page emails them the same link. When their password changes, they get a "Your password was changed" email in your branding (your name, logo, color and contact email) with a link to reset it if it wasn't them.
  • Turn off access / Turn on access: they can't sign in until you turn access back on.
  • Remove: asks "Remove …? They lose access to this client right away. Their comments stay." Click Remove again to confirm.
  • View as Client: see the portal exactly as they see it.

Examples

  • Owner and office manager: invite the owner with Editor and Site republish, and the office manager with Form responses only.
  • A new staff member at the client: invite them with the defaults, then untick what they don't need.
  • Someone left the client's business: click Turn off access straight away, then Remove when you're sure.

Limits

  • Up to 3 invite emails per person per hour (new invites and resends together), and up to 3 password reset emails per person per hour.
  • Password resets are also limited to 20 per hour from one internet connection.
  • Invite links work for 7 days. Password reset links work for 1 hour.
  • There's no limit on how many people a client can have.

Who can use it

You need the Clients tool and access to the client. Client people can't invite anyone.

Good to know

  • To change someone's email, remove them and invite the new address.
  • One email address can have access to only one of your clients.
  • On Growth and Agency plans with a client domain, invites and reset links use your own domain.
  • Invites about to run out (in the next 3 days, or ran out in the last 7) show on your dashboard under Needs your attention as Client invites expiring.

Troubleshooting

  • "Enter a valid email address": check the address for typos or spaces.
  • "That email already has access for one of your clients": one email can belong to only one of your clients. Remove them from the other client first, or use a different address.
  • "Too many invite emails sent — try again in N minutes.": you've sent 3 to this person in the last hour. Wait, or ask them to check spam first.
  • "Too many password reset emails sent — try again in N minutes.": same limit for resets.
  • "They already accepted the invite — send a password reset instead": they have a login. Use Send password reset.
  • "They haven't accepted the invite yet — resend the invite instead": they never set a password, so there's nothing to reset. Use Resend invite.
  • "Saved, but the email didn't send — try again.": the action worked but the email failed. Try again in a minute.
  • They didn't get the email: ask them to check spam and junk, then use Resend invite.
  • The status says Invite expired: click Resend invite to send a fresh 7-day link.
  • They're locked out after wrong passwords: the lock lifts by itself (1 minute, then 15 minutes, then 1 hour). See signing in to the client portal.
